Description We are seeking an Executive Assistant to join our team in the manufacturing industry located in Parsippany, New Jersey. This role offers a contract to hire employment opportunity where you will be supporting various tasks and functions. As an Executive Assistant, you will play a key role in maintaining the smooth operations of our team, managing calendars, coordinating meetings, and handling various forms of correspondence.Responsibilities: Facilitate efficient communication within the team by managing correspondence and conference calls. Coordinate and schedule meetings, ensuring all parties are informed and prepared. Manage and maintain executive calendars, adjusting as necessary to accommodate changing priorities. Utilize Concur for various tasks, demonstrating proficiency and accuracy. Ensure effective and efficient office operations by managing various administrative tasks. Act as a liaison for the President, handling communications and schedules. Coordinate and manage multiple schedules and appointments, ensuring efficient time management. Maintain professionalism and confidentiality in all communications and interactions. Assist in the preparation and coordination of reports and presentations. Provide support for various projects as needed, demonstrating strong organizational skills and attention to detail. Requirements Minimum of 2 years of experience as an Executive Assistant in the Manufacturing industry. Proficiency in using Concur software for expense management. Demonstrated ability in Calendar Management to organize executive schedules effectively. Excellent communication skills to liaise between executives and other staff members. Experience in managing Conference Calls including scheduling, set-up, and follow-ups. Aptitude for drafting, editing, and managing Correspondence on behalf of executives. Proven abilities in Meeting Coordination, including logistics, agendas, and minutes. Proficiency in Scheduling Appointments and managing executive calendars efficiently.
