Front desk Administrators:
1. professionally greet patients at all times
2. Answer a heavy volume of calls. Following up on messages including voice, email, and text
3. Assist with the check-out process when necessary
4. Ensure proper delivery of messages is taken completely (i.e pt. contact information, detailed)
5. Reminder calls including recalls and confirmation of all unconfirmed appointments
6. Collect correct patient copayments and balances ensuring the ledger has been reviewed.
7. Complete pre-registration intake forms with demographic, date of birth, phone number, and insurance information, including primary policyholder details.
8. Verifying insurance to ensure patients understand their insurance and out-of-pocket expenses before arrival including deductibles,
9. While scheduling patients please ensure the patient is not already in our system to avoid duplication of patient accounts. Attaching existing patients to the Family file (i.e. Spouse, Mother and children)
10. Maintain proper protocol in adherence to HIPPA and patient confidentiality
11. Track and log all incoming lab cases,
12. Call patients from Quick fill list, Recall list, to fill any vacancies, cancelations, or no-shows
13Scheduling patients for the hygienist and attaching any associated treatment plans, while ensuring proper coding and understanding of appointments.
14. Insurance verification for the next day's patients to ensure patients' coverage, benefits, and any pending claims.
15. Check out and batch claims while reviewing the proper codes, fee schedules, and providers are attached
16. Entering Employer, Insurance breakdown, and percentages including deductible and listing services not covered. While ensuring proper group number and Plan name are attached correctly.
17. Opening the mail and sorting it
18. Scanning of all explanations of benefits. Pre-authorization, Medical history, Intake, and registration cards, Patient insurance card, and photo ID
19. Maintain a neat and clean reception area (No eating)
20. Always maintain your composure when confronted with stressful situations
21. End-of-the-day reporting including financials, collections, productions, and day sheets
22. Knowledge of all the treatment planning duties listed above
23. All other duties as required by Management including covering the front desk and Lunch if necessary
