We’re looking for an Administrative / HR Assistant to join our team at Westville Group and support our growing operations.

Position Overview:

The Administrative / HR Assistant is a key member of our HQ team, supporting the smooth operation of our office and ensuring HR compliance across the company. This role is split evenly between administrative responsibilities and HR-related tasks. You’ll work closely with the Chief of Staff and collaborate with various departments to help maintain organization, support onboarding and payroll, and contribute to company culture.

This is an excellent opportunity for someone who is highly organized, detail-oriented, and excited to support both office operations and HR initiatives within a fast-paced hospitality group.

Key Responsibilities:

Administrative Support:

-Maintain physical and digital organization systems to ensure an efficient workspace.

-Manage office supplies, orders, and inventory.

-Assist the Chief of Staff with project management, work plans, and company events.

-Keep the office neat, organized, and professional.

-Support multiple teams with routine tasks and administrative projects.

Finance Support:

-Assist with expense reports and weekly invoices for restaurant locations and HQ.

-Process Toast POS receipts for third-party catering orders and ensure proper revenue allocation.

Operations Support:

-Support weekly supply ordering for restaurant locations.

-Maintain product catalogs for restaurant supplies.

-Assist with opening new locations (licensing, sourcing equipment, vendor coordination).

-Track and process vendor credits for returns and incorrect items.

-Support catering label printing and tent orders.

-Research rules and regulations in new markets for future expansion.

Print Materials & Company Communication:

-Manage menu printing, updates, and distribution across all locations.

-Create signage for store openings, policy updates, specials, and compliance needs.

-Generate and upload quarterly specials sheets.

-Assist with the creation and editing of Westville’s quarterly employee newsletter, Market News.

-Help document seasonal specials with culinary and supply chain leadership (ingredients, allergens, photos, substitutions).

Human Resources SupportCompliance & Record Keeping:

-Maintain complete and accurate employee files.

-Conduct regular HR file audits for policy and legal compliance.

-Process employee terminations and update all relevant platforms.

-Distribute and track required compliance documentation.

Onboarding & Payroll:

-Support new hire onboarding and orientation.

-Ensure all onboarding documents are completed and filed.

-Set up new hires across all HR platforms.

-Assist with payroll discrepancies and communication with employees.

-Forward payroll reports to accounting and provide administrative support as needed.

Translation & Communication:

-Translate and proofread HR documents, with a focus on supporting Spanish-speaking employees.

-Provide verbal and written translation support during trainings and communications.

General HR Support:

-Prepare documents for internal and external HR audits.

-Assist with workers' compensation claims, unemployment paperwork, and DOL forms.

-Support HR projects, compliance initiatives, and maintain job postings.

-Research new recruitment opportunities as needed.

Qualifications:

-High school diploma or equivalent required; additional education in office administration or HR preferred.

-2+ years of administrative experience (hospitality experience a plus).

-Experience with HR tasks or HRIS platforms preferred.

-Proficient in Microsoft Office Suite.

-Bilingual in English and Spanish strongly preferred.

-Excellent communication and time-management skills.

-Ability to prioritize multiple tasks effectively and meet deadlines.

-High level of discretion and professionalism when handling sensitive information.

-Strong attention to detail and ability to stay organized in a fast-paced environment.

Compensation: From $27/hr
