GENERAL PURPOSE:With minimal direction and exercising independent judgment, serves as the Administrative Coordinator for the Simon Business School PhD Program. This position is multi-project oriented with different ebbs and flows during the semester and requires strong organizational skills. A highly motivated self-starter with the ability to multi-task is preferred. This position creates and fosters relationships with applicants, faculty, staff, and students.JOB DUTIES AND RESPONSIBILITIES:Current Student Engagement and Program Administration (25%)
Coordinates and registers in UR Student PhD student registration ensuring appropriate course requirements are met and faculty approvals received.
Updates and maintains the PhD Student Handbook and ensures that department policies, forms, and resources related to PhD students are up-to-date and easily available (via Blackboard).
Manages PhD Student program database and URStudent updates.
Maintains information on students’ milestones, research projects, evaluation records, outcomes and all other program requirements needed and accomplished.
Application Management and Admissions (25%)
Coordinates aspects of the PhD admissions process for the Simon School. Ensures applications are complete through the online Slate system; reviews and assigns applicants to appropriate faculty members/committees.
Responds to and writes correspondence to prospective students and applicants.
Oversees PhD email account, answers all questions from prospects, applicants, and admitted students.
Coordinates Admitted Student Visit days, both group visits and individual. This may include both in person and virtual events.
New Student Engagement (10%)
Provides independent and informed guidance to our newly admitted PhD students.
Responsible for all onboarding communication to incoming students.
Develops and plans on a yearly basis the New Student Orientation.
Financial Support: (15%)
Prepares PhD department request for payments and student expense reports.
Maintain and reconciles student PhD Research Budgets.
Reconcile PhD accounts monthly using Workday.
Office Support and Other Responsibilities (15%)
Organize and attend PhD Faculty Committee meetings, maintain minutes and agendas.
Maintain communication to the Simon PhD community on upcoming Simon and University-wide events
Monitor and respond to inquiries by phone and email for the PhD program
Supply ordering and maintain copier in PhD suite (order supplies, schedule repairs)
Engages in other duties and special projects as assigned, may include other areas within the Simon School
Marketing (10%)
Creates yearly recruitment materials including program flyers and admission persuasion packets.
Managing the Simon PhD programs web pages to ensure content is up to date.
Creates and manages the PhD Recruitment email campaigns through Slate.
QUALIFICATIONS:
Associate's degree and 3 years of progressively responsible experience in administrative support required, Bachelor’s degree preferred
Or equivalent combination of education and experience
Strong attention to detail
Ability to multi-task and possesses a high level of organizational skills
Initiative-taking with ability to work independently and with a high degree of accuracy
Strong oral and written communication skills
Advanced computer skills including Microsoft Suite (Excel, Outlook, Word, PowerPoint).
Experience with forms processing/tracking, meeting coordination, scheduling.
