Primary Purpose

The Human Resources Coordinator is responsible for complex and specialized administrative tasks including recruitment, reviewing job applications from prospective employees, credentialing, managing and overseeing records, and generating HR reports.

Education and Experience

Associates degree and 3 years of relevant HR experience; or equivalent combination of education and experience. Proficiency required in written and interpersonal communication skills and Microsoft Office applications including Excel. Experience in HRIS, HR data reporting and credentialing as well as familiarity with federal and Oregon employment laws preferred. Preference given to candidates with behavioral health industry and recruitment experience.

Minimum Qualifications

Provide proof of current, valid Oregon Driver’s License (or if out-of-state will obtain Oregon license within 30 days), comprehensive automobile insurance (if applicable) and a safe driving record (minimum of 3 yrs.) to use company or personal vehicle for required duties.

Successfully pass a Criminal Background Check and Medicaid Fraud Check.

Become BCU/QED (Background Check Unit/Qualified Entity Designee) within three months.

Essential Duties, Responsibilities and Core Competencies

Administrative

Manage, track, and ensure compliance on all employee information and documentation as dictated by governing agencies and Kairos policies, including new hire required documentation, employee actions, performance reviews, and termination.

Responsible for recruitment, and internship process for all open positions at Kairos. Work closely with hiring managers on needs, process, and interviewing; manages internal and external job postings.

Maintain employee records, ensuring completion and accuracy of details such as employee contact information, job classification, pay rates, organizational structure, and other key details.

Prepare new hire orientation material and maintain data entry for new hires.

Oversee all post-hire verifications and follow through with Orientation paperwork.

Responsible for and supports audits/reviews of personnel files.

Enter staff information into the EHR (Electronic Health Records) System and HRIS (Human Resource Information Systems) and other approved databases.

Oversee annual performance management tracking and finalization.

Responsible for tracking required certifications, credentials, and new hire requirements.

Manage credentialing process, facilitate application start-up process at monthly onboarding, and tracks and follows up on completions.

Conduct wage work-ups for new/internal hires for HR Director approval.

Process employee terminations and exit interviews.

Update and maintain employee job descriptions.

Compile agency survey data for HR Director’s review.

Process workers compensation claims.

Conduct or assist with record audits and mandatory reports, which may include I-9 audits, EEO-1 filings, payroll audits, and other compliance reviews.

May serve as back to HR Generalist in conducting new hire orientations.

Provide assistance to HR Generalist and Payroll and Benefits Coordinator as needed.

May provide direction to HR Assistant as needed.

Other Duties and Responsibilities

Perform other related work as assigned by HR Director or HR Generalist.

Attend trainings and meetings as assigned. May be appointed to committees.

Ability to be flexible and adjust schedule as necessary to fit program needs and meet the needs of youth and their families.
