Job Description:The HR Administrative Assistant will help organize and run the HR department by answering phone calls, filing records, keeping track of employee information, setting up interviews, and answering questions from employees. Keep employee files up to date within internal database and running reports as needed. Will also assist with machine inspection safety reporting, entering data into inspection logs, creating signs/flyers, help create and distribute training documents, etc.
Maintain employee records (soft and hard copies)
Update HR databases (new hires, separations, vacation, sick leaves, etc.)
Assist in payroll preparation by providing relevant data such as absences, bonuses, leaves, etc. utilizing Paylocity
Prepare paperwork for HR policies and procedures
Process employee's requests and provide relevant information
Coordinate HR projects, meetings, and training seminars
Collaborate with the HR Generalist to process incoming resumes
Prepare reports and presentations for internal communications
Ensure smooth communication with employees and timely resolution to their questions
Provide orientations for new employees by sharing onboarding packages and explaining company policies
Performing machine inspections: verifying they are done, entering data into inspection logs, adding new blank sheets as needed
Collect and scan paperwork from each machine into system
Write and distribute emails regarding inspections, housekeeping items, and other other topics as they come up
Relay information from management to each shift
Relay information from employees to needed parties
Create signs, flyers, and FYI documents
Help create and distribute training documents and JSA's
Update bulletin board with information daily
Assist with timesheet correction forms
Skills & Qualifications:
Proven work experience and/schooling in HR assistance
Hands on experience with HR software (HRIS or HRMS)
PC literacy and experience with MS Office systems
Excellent time-management and organizational skills
Teamwork skills
Experience within manufacturing or industrial setting preferred
Bachelor degree in HR or relevant field preferred but not required
