Langan is seeking an Office Services Assistant to join its collaborative team in Philadelphia, PA. This individual will manage the day-to-day operations in the mail, reproduction and storage rooms. They will also perform other related activities to maximize efficiency and ensure a successful workflow in the Philadelphia office. In this role, you will have the opportunity to work with and support a dynamic, enthusiastic and growing team of professionals within a sustainable state-of-the-art work environment. The position is a part-time position (10:30am – 5:15pm with a 45 minute lunch), with the potential for increased to a full-time position. Job Responsibilities:

Work with team to manage electronic files and perform and coordinate reproduction services, including but not limited to: large scale plans, reports and proposals;

Coordinate shipping arrangements; prepare mailing labels and packages to be mailed by Federal Express and USPS; receive packages and distribute to appropriate staff; log and track shipments;

Coordinate and receive deliveries from suppliers/vendors at freight elevator;

Perform occasional local deliveries;

Assist with office moves and computer/information technology equipment setup (within the office) for new hires, existing and exiting employees, as well as document exiting employee equipment and shipping to HQ;

Order service for print room equipment when required;

Inventory toners and print cartridges. Order replacements as appropriate;

Organize and maintain supply room. Order supplies as appropriate and process billing with accounting software; Assist with stocking conference rooms and kitchen;

Provide media/audio visual technical set up for the office in collaboration with corporate Information Technology team and office services coordinator; and

Support the Philly administrative team with duties as requested.

Qualifications:

High School Diploma or equivalent required;

Minimum of 2 years office services experience;

Strong verbal and written communication skills;

Proficient in Microsoft Word, Excel, and Outlook; internet research, PDF’s;

Knowledge in printing equipment (Tech savvy);

Ability to work independently and in a team environment;

Ability to problem solve;

Strong attention to detail;

Sound judgment capability and ability to maintain confidentiality;

Ability to multi-task; and

Ability to lift a minimum of 30 pounds.
