Mastermind Plumbing is a seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, a strong work ethic, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

General Office Management:

Answer and direct phone calls, emails, and other correspondence.

Greet and assist visitors, clients, and employees ensuring a friendly personal experience.

Maintain office supplies and ensure the office is well-organized and presentable.

Scheduling and Coordination:

Manage and maintain executives' schedules, including arranging meetings, appointments, and travel itineraries.

Coordinate and prepare materials for meetings, presentations, and reports.

Assist with event planning, such as team meetings, conferences, and company events.

Documentation and Record Keeping:

Prepare, review, and distribute documents, reports, and memos.

Maintain accurate and organized files, both electronic and physical.

Ensure confidentiality and security of sensitive information.

Data Entry and Management:

Input, update, and maintain data in company databases and systems.

Generate reports, spreadsheets, and presentations as needed.

Assist in the preparation of financial statements, invoices, and expense reports.

Communication and Liaison:

Serve as the point of contact between executives, employees, clients, and other external parties.

Assist in the coordination of communications between different departments.

Handle incoming and outgoing mail and packages.

Project Support:

Provide administrative support for various projects, including research, data analysis, and reporting.

Assist with the implementation of company policies, procedures, and programs.

Additional Duties:

Perform other administrative duties as assigned by management.

Support HR functions, such as onboarding new employees and maintaining employee records.

Qualifications:

Proven experience as an Administrative Assistant or in a similar role.

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Ability to work independently and as part of a team.

High level of attention to detail and accuracy.

Familiarity with office equipment, such as printers, scanners, and fax machines.

Knowledge of basic bookkeeping and financial record-keeping is a plus.

Education:

High school diploma or equivalent required
