Job Description The University Ceremonies and Events Production Assistant will perform a variety of administrative, hands-on, and staff support duties for the University Ceremonies and Events team, which is part of the Office of the Chancellor. The position executes tasks as assigned by the University Ceremonies and Events Manager(s). This position will be heavily involved with preparation of events, on-site logistics and hands-on assistance for events.Duties and Responsibilities

Communicate with all external partners, as requested, to support the event (e.g. event volunteers, external sound, video, security, ticketing, rentals, etc.).

Provide event execution support on Founders Walk, Family Weekend, Reunion, etc. as requested.

Document creation within a variety of office applications.

Demonstrate strong written and verbal communication skills.

Exhibit a strong understanding of space and logistics and implement event plans that take these factors into account.

Perform physical labor as needed and exhibit a willingness to do whatever is necessary at an event, be it lifting and loading, emptying trash or serving guests as required is necessary.

Provide overall support as needed and assigned for department priorities.

Demonstrate the flexibility and creative thinking in the execution of work, including the ability to prioritize tasks and re-prioritize as necessary as situations change and new information arises.

Adhere to confidentiality and business ethics; demonstrating outstanding judgment and discretion.

Work outside regular business hours as needed to perform job responsibilities.

Perform other relevant duties as assigned.

QualificationsEducation and Certifications:

A bachelor’s degree is required.

Experience and Skills:

At least 2 years of experience in event planning, project management, or a related field is necessary.

The ability to apply sound judgment in all situations is required, as are excellent organizational skills with meticulous attention to detail.

Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities are essential

Ability to perform physical labor and work extended hours as needed

Fluency in all Office Suite products is necessary; knowledge of Wrike is highly preferred.

The ability to create scale drawings is strongly preferred.

The ideal candidate will be a highly motivated, professional team player with courteous interpersonal skills and an excellent customer service attitude
