DescriptionUnder general direction of the Chief Information Officer, the Administrative Support Specialist, performs a variety of highly skilled tasks related to the activities and operations of the Information Technology Department, including but not limited to, providing professional, and technical administrative support; compiling and developing reports, project plans, and publications as assigned; handling high impact and complex customer service issues requiring excellent stakeholder engagement and facilitation; overseeing the fiscal aspects of the department such as processing and verifying biweekly payroll, managing invoices, purchase orders, deposits and receiving reports. Principal Duties

Maintain strong working relationships with vendors and associates and work as the point of contact for services rendered on projects, invoices, milestones, and vendor accounts.

Provide advanced administrative & technical support to department personnel; including creating documentation for technical business processes and procedures, developing diagrams and process maps for AS-IS and TO-BE processes on medium to large scale projects.

Coordinate and oversee the fiscal aspects of the department; to include but not limited to, processing and verifying biweekly payroll for the department, managing invoices, purchase orders, deposits and receiving reports.

Perform a variety of administrative duties such as organizing IT Personnel travel arrangements, assisting with the setup of IT new hires, department evaluations, policies, procedures, personnel inquiries, meetings, and budget accounts as requested. Composing routine and/or specialized documents, departmental correspondence, reports, memos, and presentations.

Administer the City's Copier Contract(s), and other IT Contracts providing timely submissions of contract requirements, including managing Council Agenda and Payment milestones for projects and maintenance.

Track all IT asset purchases and assist Technology Services with Records Management of all hardware and software assets; including but not limited to, review and track project funding; reconcile invoices, and provide feedback and analysis reports for project related budgets.

Track and restock office supplies, beverages, and other miscellaneous commodities and act as a liaison to various commodity and service vendors.

Supervise Mail Clerk and Mail and Postal Services Assistant, to include but not limited to, hiring, terminating, planning and conducting performance appraisals, administering disciplinary actions, and processing promotions and/or pay increases, as necessary.

Perform other related duties as assigned.

QualificationsRequired: Associate's degree and three (3) years of progressive experience in supporting the needs of technology department; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Texas Driver's License. Intermediate to Expert level computer skills in the use of word processing, spreadsheets and data entry using MS Excel, Word, and PowerPoint. Experience using Microsoft Visio for creating business process diagrams. Ability to communicate effectively, both orally and in writing. Skills and knowledge of office practices and procedures. Strong organization skills. Ability to absorb and retain information quickly. Ability to present ideas in user-friendly, business-friendly and technical language. Highly self-motivated and directed with the ability to drive accountability and results. Keen attention to detail. Ability to effectively prioritize and execute tasks in a high-pressure environment.Preferred: Bachelor's Degree and/or technical training in information technology, electronics or related field.
