Made Possible.Role SummaryThe Administrative Assistant provides a wide variety of administrative support to the Department Manager and personnel for The EHS and Quality Departments, including but not limited to maintaining department filing system, creating and maintaining reports, handling company sensitive and/or confidential correspondences and information. This role multitasks, meets critical timelines, and produces deliverables while maintaining the highest level of confidentiality and ethics.Responsibilities

Performs the daily administrative duties of The EHS and Quality Departments, including but not limited to filing, document and spreadsheet creation, developing reports, process COA’s and customer requests, data entry, update SEP Control Spreadsheet and communicate with entities outside of the mill

Provides telephone coverage; screens calls; takes messages and distributes in a timely and appropriate manner as required

Manages the calendar of Manager; schedules internal/external meetings and appointments; and coordinates conference calls

Coordinates travel arrangements (air, hotel accommodations and ground transportation) with travel agency; prepare detailed itineraries and assure accuracy and timely delivery of plans/tickets to travelers

Reviews managers' expense reports, verifies expense documentation and submits to accounting for payment

Liaison for ordering and re-orders of all office supplies. Checksstock to determine inventory level; anticipating needed supplies; places and expedites orders for supplies; verifies receipt of supplies

Assists with special projects including data entry on regulatory web sites, day-to-day tasks, material distribution and copies for meetings, process PCI testing samples and results and process trial updates.

Assists with setup of new employees

Writes requisitions as directed

Handles multiple projects in an efficient manner

Receives and reviews invoices for accuracy in a timely manner; accurately processes invoices and presents any inaccurate invoices to Manager

Develops and maintains cost control reports for the Administration department; including but not limited to, Procurement, Warehouse and Security

Develops and updates administrative systems to make them more efficient

Resolves administrative problems, coordinates activities with other administrative assistants as needed

Conducts daily review and filing of day lab bench sheets

Prints completed monthly water plant SWMOR, conducts checklist review and ensures delivery to TCEQ by 10th of each month

Assist in gathering records for audits and inspections

Responsible for mill mail room including postage meter

Other duties as assigned

Required Qualifications

High School diploma or GED required

Three (3) years administrative experience

Ability to multi-task in a fast-paced environment

Proficient and accurate data entry skills

Excellent written and verbal communication skills and interpersonal skills to effectively communicate with all levels of the organization and the public

Excellent time management skills and the ability to multi-task and prioritize work

Strong organizational and planning skills

Attention to detail and problem-solving skills

Professionalism

Ability to proficiently utilize Microsoft Office Suite office applications; Word, Excel, PowerPoint and Outlook

Ability to handle confidential or sensitive information ethically with tact, courtesy, and discretion

Ability to type sixty (60) words per minute

Must be legally authorized to work in the United States

Must be able to pass pre-employment background screening and drug screen

Desired Characteristics

Associate Degree in business discipline

Five (5) years of experience in an administrative role

Experience with Sharepoint and

Experience with Microsoft Access
