Full Time; Union; Benefits Eligible; $16.41-17.18 p/hr

BASIC FUNCTION

The Academic Affairs Coordinator (AAC) provides administrative support and coordination to the Office of Academic Affairs (AAO), in a rapidly changing environment with significant responsibilities in information and content management for Academic Program web sites, and administrative support relevant to residency planning and various assessment tasks.

CHARACTERISTIC DUTIES & RESPONSIBILITIES

Administers and coordinates the residency planning process in collaboration with the Program Directors. Includes creation of forms to collect workshop/seminar information, students advisor preferences and second reader forms, and editing/proofreading of programs residency schedules. Publishes residency schedules in accordance to the Colleges established platforms and style guide for electronic and printed delivery systems.

Provides coordination and support to programs for various administrative tasks as assigned.

Develops, manages, and maintains content on the Academic Program intra/internet sites for the Academic Affairs Office, in collaboration with the Student Services and IT departments. This includes, but is not limited to: faculty profiles, links to external sites, online courses, and program resource materials.

Create and process student assessment/evaluation data forms for the faculty and operations at residency, and the faculty end of semester evaluations. Maintain electronic repository for archival and retrieval of the data.

Provides coordination and support for the faculty evaluation and peer review process. Includes maintaining electronic files, collection of feedback from stakeholders, providing instruction, and assistance to faculty with the evaluation process.

Administers the office financial activities, includes processing invoices, stipends, and reimbursements for payment.

Maintain and update various databases and spreadsheets, includes updating faculty statuses and addresses. Create and submit reports to stakeholders as needed.

Provide administrative support for cross-programmatic academic services (e.g. Association of Writing Programs, Institutional Research Board, plagiarism software). Includes updating student/faculty accounts and rosters for third-party services, and correspondence to stakeholders about activities, as needed.

Develop and maintain academic calendars each semester that provides program-specific dates and deadlines for student work, extensions, evaluations, and other related College due dates/deadlines.

Communicates and corresponds with College constituents from the departments official email address. Coordinates email announcements,

Develop and maintain systems of organizing, retrieving, and archiving of Academic Affairs electronic files and various electronic mailboxes.

Conduct special project work, including research data collection and processing as needed, in response to specific requests by the supervisor, team members, or the Academic Dean.

Contribute to team effort by accomplishing related results as needed.

Occasional travel, weekend, and evening work may be required.

Other duties as assigned.

MINIMUM QUALIFICATIONS

Bachelors degree preferred, and three to five years of relevant administrative experience, or a combination of education and experience from which comparable knowledge and skills are acquired.

Intermediate to advanced level in Microsoft Office software (word processing and spreadsheets, including complex spreadsheets); Google applications; and ability to learn quickly new software programs and applications. Knowledge and/or experience with HTML, CSS, and content management systems is a plus.

Ability to create, apply, and coordinate use of office systems.

Excellent organizational skills with high degree of attention to detail.

Excellent communication skills, both written and oral.

Excellent interpersonal skills, including the ability to work collaboratively and effectively with a wide variety of College personnel, students, as well as individuals and organizations from the greater community.

Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, and ethnic backgrounds of students, faculty, staff, and greater community.

Demonstrated ability to exercise judgment and confidentiality in matters of the College and Academic Affairs.

Ability to work independently, as well as part of a collaborative team.

Visual acuity to read numbers and words & hearing ability to communicate in person or over the phone

Physical Effort

š A. Frequent periods are spent standing or sitting in the same location with some opportunity to move about. Occasionally required to stoop or lift light material or equipment.  C. Regular periods during which there is continuous physical exertion required, e.g., walking standing, stooping, climbing, lifting material or equipment, some of which may be heavy or awkward.

 B. Almost continuously sitting in the same position or standing/walking. Frequent requirement to lift/handle material or equipment of moderate weight.  D. Almost continuously engaged in one or more strenuous physical activities simultaneously, e.g., climbing, walking, carrying heavy and/or awkward material or equipment. Work may be performed in confined spaces and/or awkward positions.

 A. Occasional need to give moderate attention, either hearing or seeing, to what is happening. š C. Frequent need to give concentrated attention, with one or two senses at a time, where stimuli are changing.

 B. Regular need to give close attention, either hearing or seeing, to what is happening.  D. Almost constant need to give concentrated attention where multiple stimuli are changing, quickly and where two or more senses - hearing, seeing, touching, tasting - must be used in coordination.
