A Customer Service Representative Admins primary responsibilities will be conducting follow-up regarding outstanding documents such as Itemized Bills (IZs), or any other documentation required to provide a complete referral for processing. Additionally, the Limousine South Admin will also assist with Limousine South team duties to include but is not limited to: Facility packets, Triage Forms, Ocular Character Recognition (OCR), referral processing, medical records sorting and processing, to make ready for Forensic Review.

Department Administration

Contact facilities to obtain information needed to process claims; escalate to supervisor and account management when appropriate

Review and categorize incoming medical records according to defined process including saving to appropriate folders within client folder, sorting/scanning/OCR as needed and maintain the Medical Records storage closet

Using the appropriate templates, create client specific letters and other communications (Acknowledgment Letters, Records requests, etc.)

Develop and maintain tracking mechanism for itemized bill requests and facility organization

Review incoming communications, including fax and e-mail, directing communications to appropriate personnel and entering them in the HANDS system

Review and process incoming claim referrals. Ensure completeness and legibility of documents, coordinating with customer service and/or facilities to obtain additional information as needed

Document all pertinent communications for all claims in HANDS system according to company standards

Assign claims to data entry vendors

Process Itemized Bills (IZ) through the OCR software

Understand and maintain HIPAA confidentiality and privacy standards when completing assigned work

Participate in department and company meetings as requested

Complete special projects and other duties as assigned

Job Requirements:

Education and Certifications

High School diploma or GED degree required, some college preferred

Experience

2+ years of administrative experience

Familiarity with medical terminology, coding and UB-04 claims forms helpful

Experience within the healthcare, hospital or insurance markets preferred

Customer service experience preferred

Familiar and comfortable with productivity and quality tracking environment

Skills

Basic computer skills, including Word, Excel and data entry

Very strong attention to detail applied to assigned tasks

Strong organizational skills

Self-Starter, ability to multi-task and work with little direction

Must have excellent written and verbal communication skills

Ability to prioritize competing tasks in a fast paced environment

Ability to apply critical thinking skills and problem solving required

Team player demonstrating passion and enthusiasm for company vision and mission
