IRC opened an office in Seattle in 1976 and in Spokane in 2022 and provides a continuum of services including intensive case management, employment and economic empowerment services, immigration assistance, health and wellness programming, and education support to refugee and immigrant families in Washington State. SCOPE OF WORK: Accurate data, data analysis and representation are central to the successful operation of any non-profit organization. IRC Seattle will implement a major Migrant and Asylum Seeker Support project in WA. As part of this project’s team, the Data Specialist will primarily monitor and coordinate data collection. They will be responsible for assisting the project’ direct support team in entering and reviewing client data in current web-based data management systems, including assisting with necessary training materials (after been trained themselves). They will lead data clean-up efforts in view of data analysis and reporting, and support with the project data tracking systems to meet clients and funder needs. MAJOR RESPONSIBILITIES: Responsibilities include, but are not limited to: Data Work closely with and support internal project staff and partners to ensure timely entry of client demographics, intakes, services, follow-ups, referrals; training and screening outcomes into systems; Support with data entry and data cleaning for grant programs reporting when needed; assist in data entry backlog when needed in different databases; Support with pulling data reports to report to funders the impact of programming. Review clients’ records in databases to make sure the data entered comply with the grant requirements; Prepare and/or review data sets and reports for internal and external stakeholders. Support project team with data quality assurance. Support the project’s MEL Plan, ex. with outcome tracking and reporting, data review meetings and action planning Become proficient in the project platforms (ex. Zendesk) and support navigators and partner organizations staff with trainings on data entry in these platforms Support, depending on capacity, with other data duties as assigned Administrative Support with pulling database reports when needed to inform the project team about outcomes and gaps in services; Support the project team in pulling statistics and data for reporting; Support with timely submissions of grant reports; Support with the external referral system tracking; Other duties as assigned; Team/Office Participation Participate in meetings, staff development activities, and other duties as assigned. Work as part of a team to provide comprehensive strength-based services to IRC clients Coordination, collaboration and effective communication between team members and departments. Comply with all policies, procedures, and protocols of the agency, placing importance on client Confidentiality. JOB REQUIREMENTS: Education:Undergraduate degree in relevant field, preferably in Social Sciences, Information Systems, or related field (relevant experience may substitute for degree). 3+ years of related professional work preferably in social service case management or program management software, client relationship management, or other information systems for client management. Proficient in Microsoft Office applications with strong experience in MS Excel; ability to use the internet and other digital tools for data entry, research, and problem-solving purposes. Lived experience as a refugee or immigrant or related lived experience preferred. Attention to detail and ability to follow instructions fully and precisely are essential. Ability to quickly learn information systems Excellent communication skills, including English fluency (written and verbal). Strong data management skills, with ability to conduct basic data analysis from different sources; Strong attention to detail; Ability to conduct instructional sessions to colleagues; Solid organizational skills with the ability to work productively and accurately while under pressure in a fast-paced environment; Ability to work independently, be a self-starter and maintain responsibility for multiple tasks; Language Skills: Fluency in written and spoken English Bilingual ability preferred in Spanish, Portuguese, Arabic, Swahili, Dari, or other Washington State refugee/immigrant language. Strong cross-cultural understanding and excellent communication skills, both written and verbal. Working Environment: A combination of standard office environment and remote work to perform the above outlined responsibilities. Office’s hours are scheduled as Monday-Friday, 9:00am-5pm. Occasional evenings and weekends may be required. Occasional travel within the WA state. Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
