This role will be part time January-June 2025. Full time beginning July 1st, 2025.

Position Schedule-

Monday 8am-1pm (5 hours)

Tuesday 10am-6pm (8 hours)

Wednesday 8am-1pm (5 hours)

Thursday 10am-6pm (8 hours)

26 hours per week with some flexibility

Primary Role: The primary goal of this position is to support the owner in sales and office operations. Responsibilities include: managing client interaction electronically, in-person and over-the-phone. Oversee proper processing and data entry of insurance applications, work with insurance carriers on billing issues, account set up and client requests, work with sales staff on advertising and marketing efforts, streamline lead generation activities, assist with all aspects of seminars (as needed) including set up, structure, and break-down, managing client interaction and interfacing CRM (client relationship management database), mange day-to-day operations of the office.

Complete Job Description:

Greet and welcome clients to the office

Schedule, reschedule, and cancel sales appointments as needed

Enter new insurance applications into the customer database ensuring data is accurate and up-to-date.

Resolve client concerns or complaints from insurance carriers immediately.

Call and document all customer related communication.

Follow office procedures for client death claim processing, address changes, re-ordering insurance cards, etc.

Manage Medicare lead campaigns to include calling, mailing, and emailing potential prospects

Follow strict compliance regulations and protocols with the ability to adapt to annual regulatory and industry changes

The ability to discuss confidential information in-person and over-the-phone with tact and professionalism.

Work with insurance companies to resolve client benefit questions and billing issues

Track and follow up on pending insurance applications to include scheduling exams, ordering medical records, writing suitability cover letters, managing asset transfer schedules

Work with owner to maintain state licensing requirements, business insurance, and other certifications

Must work well with current sales and office staff which includes consistent positivity and constructive communication skills.

Help us grow and thrive by suggesting ideas for process improvement, marketing, and branding

General office duties to include:

a. Answering phones and returning voicemails

b. Data-entry and database management

c. Filing, organizing, and maintaining marketing materials

d. Basic office operational duties such as: managing agency calendar, ordering supplies, pay utilities, maintain office files and organizations, etc.

Requirements:

Great customer service experience with the ability to relate to retirees and the elderly population

Must have professional appearance and adhere to office dress code

Must always operate with integrity and honesty

Life and Health license required within 90 days of employment.

Excellent phone voice with the ability to simplify complex situations

Must work with a sense of urgency and initiative

Microsoft Office Proficiency and quick learner

High school and some college experience

Must communicate slowly and clearly with patience

Must live within 10-15 miles of Tacoma, WA zip code 98409

Preferred Experience (but not required):

Some familiarity with insurance including co-pays, deductibles, coinsurance, etc.

Some background or knowledge of healthcare (billing, caregiving, other)

Creative and interested in small business marketing and social media

Bilingual and willing to become a certified translator

Work Environment:

In-office only. The position will require working alone with minimal supervision after training period.
