The Department of Biostatistics is among the top three most highly ranked and regarded graduate programs in biostatistics in the U.S. The department is a recognized global leader in the statistical sciences with faculty and alumni holding leadership roles in academia, government and industry worldwide. The Department is at the forefront of innovation and excellence across the health sciences with a rapidly expanding number of regional, national and global collaborative partnerships including those with the National Institutes of Health, Fred Hutchinson Cancer Research Center, Gates Foundation, Children’s Hospital Research Institute, Group Health Cooperative, the Veteran’s Administration, Food and Drug Administration and many others. This Educational Programs Specialist provides critical direction in the realm of curriculum and career development to enable the department to deliver education. As one of the top biostatistical programs world-wide, the department depends heavily on the competent performance of this position.DUTIES AND RESPONSIBILITIES CURRICULUM MANAGEMENT (50%)
Independently manage the curricular change process for the Biostatistics MS and PhD degree programs, including obtaining faculty and curriculum committee approvals for these changes. Facilitate and track Graduate School, School of Public Health, and University of Washington paperwork through completion and disseminate this information to faculty, staff, students, and other departments as appropriate. Update degree program website pages with relevant changes with prior consultation/approval by relevant stakeholders.
Provide crucial support to the department’s faculty-led Curriculum Committee (EPTEC, Educational Policy and Teaching Evaluation Committee); including developing agendas and handouts in coordination with the EPTEC chair; and ensuring materials are posted and regularly updated on the Portal site. Anticipate issues and advise to the committee on UW graduate student policies. Manage EPTEC archives and record minutes during meetings. Fulfill requests from EPTEC for curriculum data when necessary.
Handle new course applications, changes, and withdrawals; and make recommendations to EPTEC, Department Chair, SPH Curriculum Committee, UW Curriculum Office, and joint departments where needed. Notify Time Schedule, faculty, and students when new courses are approved.
Develop and implement a process for students to request special permission to enroll in a course, lowering administrative burden on faculty.
Manage quarterly curriculum duties including instructor updates, Time Schedule construction, course adds, changes, and withdrawals; coordinate joint course curriculum with other departments.
Independently plan and administer First Year (MS) Theory and Second Year (PhD) Theory Exams, collaborating with the department of Statistics as necessary. Reserve exam space, keep students informed of exam details/instructions, coordinate faculty meetings, arrange for additional proctors as needed.
Determine course eligibility and distribute course entry codes accordingly. Review course enrollment numbers and monitor low enrollments; track enrollment data for internal and external reports.
Independently respond to student inquiries regarding Educational Programs; exercise independent judgment to refer them to other staff, departments, or programs as necessary.
Manage the “BIOST 600 – Independent Study” registration process. Collect, verify, and store BIOST 600 registration forms. Audit BIOST 600 class lists for students without forms. Contact students to complete or correct forms as appropriate.
Manage the relocation award process. Identify which incoming students qualify for the award in Spring; contact them with the relevant application information required for the award; manage forms and applications; collaborate with fiscal team to wire or mail funds to students.
Advise the department fiscal team regarding the educational program portion of grant reporting (especially training grants). Handle requests for educational program data from external stakeholders like NSF, ASPH, etc.
Maintain course syllabi files on web (both Department and School sites). Maintain/update quarterly course offerings on web, with links to class web sites, utilizing knowledge of HTML coding.
Create and manage evaluations for both instructors and courses, as well as evaluations for teaching assistants (TAs). Maintain a computerized TA evaluation filing system.
Coordinate quarterly course instructional needs (classroom scheduling, textbook orders, library reserve lists, final exam scheduling, TA desk copies, etc.). Assist faculty with grade reporting and change-of-grades. Coordinate faculty peer reviews.STUDENT CAREER SERVICES (40%)
Serve as the lead for the department’s professional development program, including hosting career discussion panels with alumni and practitioners and representing the department at the school level at the School of Public Health (SPH) Careers Development Group.
Develop and implement improvements to the department’s professional development program, including creating new professional development workshops for the master’s students and hosting networking events, panels, and webinars.
Independently develop, coordinate, and present vital resources for current students. Such resources may include sessions on successful degree progress, and career resources such as professional development workshops with department alumni. Lead the promotion of these events by working with departmental and school faculty, staff, and student groups to advertise the events and increase student attendance. Gather student and panelist feedback to continually improve the offerings. Develop and foster relationships with alumni and community members to maintain a rich pool of panelists and experts to draw on for these career offerings.
Counsel and advise students regarding degree progress and career readiness. Prep students for job interviews by mock interviewing them with technical questions. Advising session topics may include resume and cover letter development using up-to-date tools such as AI or course timing and elective choices.
Advise current students, faculty, and potential applicants on requirements/policies (Departmental, Graduate School, SPH, UW, etc.) and courses/curriculum; as well as interpreting policies.
Guide Graduate Non-Matriculate (GNM) and Tuition Exempt students through registration process. Give general advice on appropriate courses to GNM students and non-majors.GENERAL ADMINISTRATIVE SUPPORT (10%)
Contribute to special projects as assigned by the Department Chair, including (for example) working with School-level committees and projects (e.g. CEPH), and contributing curriculum information for the department’s 10-year review.
Manage the department room reservation system, submit facilities requests, and provision Husky Card building access for non-Biostatistics students.
Provide coverage for other departmental staff as needed to complete miscellaneous program and student support tasks, such as providing event-related and graduation support, and maintaining other physical and online materials and spaces.
Provide coverage for the Academic Services Coordinator in administering course operations for BIOST 590.Lead Responsibilities:
Responsible for leading the department’s professional development program, including directing the work of one other Counseling Services Coordinator. This involves creating programming, writing content, leading career panel discussions, organizing seminars, and maintaining a schedule of events for the master’s students in the department.
This is an opportunity for the candidate to develop and implement the department’s professional development program for master’s students from the ground up and establish programming to offer to students throughout the year. MINIMUM REQUIREMENTS
Bachelor's Degree in the Sciences, Business, or Liberal Arts
4-5 years' experience Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Experience managing courses at the University of Washington, including experience with the Time Schedule system, MyGrad, and all aspects of instructional support.
Excellent written and oral communication.
Strong work ethic; collaborative spirit; and desire to provide excellent customer service
Intermediate or better experience with MS Office applications.
Experience in an academic setting.
Experience supporting a diverse workplace or student groups, including local and international constituents. DESIRED QUALIFICATIONS
Competency in speaking Chinese.
Experience managing Content Management Systems (CMS) and databases.
Experience with HTML coding.
