Dispatcher

Dispatcher Job Description:

The ideal candidate would be familiar with a variety of HVAC and Appliance repair concepts, practices, and procedures.

The Dispatcher performs a variety of complicated tasks and shares responsibility with the Dispatch Manager for driving the work in the field through the scheduling software in use.

The Dispatcher works with the Lead Technician for each department to work together in scheduling and prioritizing work appropriately according to Air Butler’s work order scheduling and reschedule (missed appointment) policies. The Dispatcher answers phone calls in the order assigned by the Dispatch Manager as they come in.

In summary, the Dispatcher supports the Dispatch Manager in any function necessary, primarily in answering the phone and scheduling work in accordance with Air Butler’s work order scheduling policies.

Job Functions:

· Utilizes computerized scheduling software and other systems to determine and route job assignments for field personnel. Currently using Service Fusion, GoTo Connect, Microsoft Teams, and others.

· Accounts for the scheduled work and maintains knowledge of the status and location of the field personnel throughout the workday.

· Receives requests for service from the company’s customer-contact software(s) (GoTo Connect, Facebook, email, etc.) or directly from subscribers, evaluates type of work or assistance needed, establishes workforce priorities in line with company policies, and dispatches or redirects appropriate field personnel to achieve proper response.

· Manages the ongoing Maintenance Agreements owned by customers. Keeps up to date with necessary visits and ensures those visits are scheduled and carried out. Reported back to Office and Dispatch Manager monthly.

· Answers phone calls as they come in and schedule jobs as needed.

· Calls out to customers/technicians as needed to coordinate and schedule jobs.

· Coordinates scheduling jobs with parts manager once parts have arrived.

· Responsible for contacting all open estimates, keeps a report that is shared with Dispatch Manager and Office Manager weekly.

· Responsible for contacting and scheduling visits

Job Type: Full-time

Pay: $10.00 - $16.00 per hour

Education:

  • High school or equivalent (Preferred)

Experience:

  • Dispatching: 1 year (Preferred)
  • Customer Service: 1 year (Preferred)
