Schedule

Generally Monday through Friday 8:00 a.m. - 5:00 p.m. with a 1 hour designated lunch break. Evening group coverage approximately 2 evenings per month is also required. Schedule is adjusted to maintain a 40 hour work-week.

Responsibilities

The Clinical Secretary is responsible for performing secretarial and receptionist duties under the supervision of the Finance Manager, or designee. The Clinical Secretary may perform high level, specialized duties and project assignments.

  • Coordinate routine correspondence and communications, entering data and/or preparing correspondence, reports, etc.
  • Greet, screen, and schedule clients according to need and assignment, and in accordance with the identified process in the office, to include the assessment and collection of fees and explanation of applicable agency policies.
  • Answer phones and perform other receptionist duties.
  • Prepare receipts for payments, performing all accounts receivable functions related to client accounts.
  • Assure accuracy and timeliness data entry for billing and insurance claims as needed.
  • Prepare and submit data, reports, deposits and vouchers according to established schedules and deadlines.
  • Respond to minor client requests and complaints, reporting all complaints to the immediate supervisor.
  • Establish and maintain clinical records.
  • Monitor security practices, timely flow of data, and destruction of files.
  • Assist, as directed, in inventory and ordering of office and program supplies and equipment as approved by the immediate supervisor.
  • Monitor routine maintenance for building and property and present needs to the immediate supervisor.
  • Assure responsiveness to community agencies and the general public.
  • Maintain confidentiality in all interactions related to the agency, i.e., any records or client related information.
  • Demonstrate flexible scheduling to meet the needs of the organization.

Qualifications & Skills

  • Education: High School Diploma or General Education Degree (GED): Required
  • Experience: 2+ years of experience providing clerical and reception support and data entry.
  • Computer Skills: Must be proficient in basic computer programs, including Word and Excel, and be willing to learn new applications as they relate to the work environment.
  • Valid Driver's License
  • Ability to pass comprehensive background screening
