Position Overview: We are seeking a customer-focused and highly organized Customer Service Representative to join our team at a dynamic screen printing and embroidery shop. The ideal candidate will be the primary point of contact for our clients, responsible for delivering excellent service, managing orders, and coordinating with internal teams to ensure customer satisfaction and efficient operations.
Customer Service:
Act as the first point of contact for clients, answering phone calls, responding to emails, and greeting visitors.
Provide personalized assistance to customers, addressing inquiries, resolving concerns, and ensuring satisfaction throughout the ordering process.
Order Management:
Assist customers with order placement, guide them through product options, and provide quotes.
Manage the entire order lifecycle, from processing to fulfillment, ensuring timely and accurate delivery by coordinating with the production team.
Regularly update clients on their order status and handle any issues that may arise.
Client Relationship Management:
Build and maintain strong relationships with customers by understanding their needs and recommending suitable products or services.
Upsell additional products or services when appropriate to maximize customer satisfaction and increase sales.
Scheduling and Coordination:
Work closely with production teams to align schedules and ensure that customer deadlines are met.
Proactively communicate with clients about production timelines and delivery expectations.
Data Entry and Record Keeping:
Accurately maintain customer information, order details, and preferences in the company database.
Track and log orders, inventory, and customer interactions to ensure smooth operations.
Problem Resolution:
Handle customer complaints and issues professionally, working to resolve problems efficiently and effectively.
Provide feedback to the management team about recurring issues or suggestions for process improvement.
Communication:
Collaborate with vendors and suppliers as necessary to ensure that customer orders are fulfilled to specification.
Maintain open lines of communication with production and management teams to ensure seamless operations.
Administrative Support:
Provide general support to the sales and production teams, including creating documents, reports, and spreadsheets as needed.
Qualifications and Skills:
Proven experience in a customer service role, preferably in a production or manufacturing environment.
Strong communication and interpersonal skills, with the ability to build rapport with clients.
Exceptional organizational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Ability to work both independently and as part of a team.
Detail-oriented with a focus on accuracy and problem-solving.
Familiarity with screen printing and embroidery processes is a plus.
