In this position you will be responsible for all the booking and travel arrangements for the company. The Administrative Assistant will report to the department manager.The position will be based out of Corona, CA with traveling to Adelanto, CA as needed. Responsibilities:Coordinate and book travel and hotel and conference reservationsUpload trip expenses reports into the systemCoordinate logistics of vehicles and equipment.Shipping, receiving and shipment tracking through various shipping vendorsManage the ordering requests of all project related purchases and office supplies.Provides general assistance to management staff and Purchasing Department with the following: Uploading Trip Receipts, Launching Expense Requests, Posting Invoices, Posting Debit Card Receipts, Posting Petty Cash Receipts.Prepare any outgoing mail, copying, faxing, scanning documents and filingReport to work at the scheduled time, demonstrates consistent and regular attendance, and consistently works the duration of the scheduled shiftAnswering incoming calls on busy main line phone number in a pleasant and friendly manner. Transferring phone calls, taking messagesMaintains a positive composure and pleasant demeanor even when under pressure.Adhere to company security policies by following visitor proceduresEnsure the kitchen, front desk reception area and conference rooms are clean and orderly throughout the workday.Stocking kitchen with necessary supplies, placing orders online for such supplies(Note: These tasks are not intended to be all-inclusive. You may perform other related duties as required to meet the ongoing needs of the company).Essential Job Functions:Follow all company policies and procedures.Must be able to stand, bend, kneel, sit for lengthy periods and use hands for various functions such as typing and using various hand tools.Must be able to work from hand-written data sheets and memos.May require heavy lifting at times.Maintain a clean office area and work environment.Must be able to stand and crouch for filing purposes.Must be able to work overtime and occasional weekends.
