Position Overview
We are seeking a polished, proactive, warm, and compassionate Personal Executive Assistant to support a busy executive in both professional and personal capacities. Key Responsibilities

Responsibilities may include, but are not limited to:
1. Personal Support & Household Organization
Running personal errands efficiently and proactively
Managing returns, exchanges, and local pickups or drop-offs
Organizing household items, supplies, and small spaces for better flow
Overseeing home vendors (cleaners, landscapers, service providers)
Maintaining a clean, organized, and ready environment
Preparing items needed for travel, meetings, and special activities
Helping with seasonal tasks, household projects, or organization days
Creating systems that reduce daily friction and increase efficiency
2. Elderly Care Support (Non-Medical, Logistical + Emotional)
Support is focused on coordination, preparation, and reducing the emotional and logistical load of caring for an elderly parent.
Scheduling medical appointments (cardiology, neurology, primary care, imaging, labs)
Coordinating transportation, reminders, and day-of documentation
Researching dementia resources, local programs, specialists, in-home support, and tools
Communicating with pharmacies for refills or pickups
Organizing medical paperwork, insurance documents, and appointment notes
Preparing summaries and questions for medical consultations
Offering grounding support during weeks that require additional presence and understanding
No medical care is involved—this is supportive, organizational, and logistical assistance.
3. Pet Care Support
Scheduling grooming, vet appointments, and wellness check-ins
Picking up pet supplies, medications, or specialty food
Assisting with occasional walks, feeding, or transport
Researching trainers, boarding, or pet services as needed
Helping maintain smooth weekly routines for pets
4. Scheduling & Personal Logistics
Managing personal appointments and scheduling commitments
Creating reminders, time blocks, and day-of schedules
Booking wellness, beauty, automotive, and home service appointments
Maintaining an organized personal calendar
Tracking renewals, memberships, and annual responsibilities
Proactively noticing gaps or conflicts and presenting solutions
5. Administrative & Professional Support
Although primarily a personal support role, your assistance may include:
Light email review and flagging items that require attention
Drafting simple messages or confirmations
Organizing documents, digital files, photos, or communications
Preparing follow-up notes or checklists
Uploading or organizing files for future reference
Supporting small projects that help streamline the executive’s week
6. Local Errands & In-Person Support (Pacific Grove & Surrounding Areas)
Local shopping, gift pickups, and pharmacy errands
Transporting items for donation, repair, or return
Managing packages, shipments, and deliveries
Acting as the in-person support presence for various household needs
7. Proactive Time-Saving Initiatives
This role is ideal for someone who is naturally wired to create efficiency.
Examples include:
Identifying ways to simplify routines and create better flow
Offering recommendations for organizing home and life tasks
Anticipating needs before they are expressed
Preparing upcoming appointments in advance
Researching smarter solutions for recurring challenges
Suggesting systems to streamline personal and household management
Looking ahead at the calendar to address needs early
Helping the executive maintain clarity, order, and quiet mental space
Your ability to gently foresee, prepare, and create ease is the heart of this role.
Optional Future Growth Opportunity
For someone who excels and finds joy in deeper organizational and professional executve support, there may be an opportunity to expand this position into a hybrid Personal & Executive Assistant role during Mondays through Wednesdays.
Growth areas may include:
Outlook calendar management and time protection
Inbox triage and executive communication drafting
Managing weekly priorities and preparing planning packets
Coordinating with internal team members and external partners
Supporting executive-level professional communication
This is not required, but available for someone who feels inspired by expanding into higher-level executive support over time.
Ideal Experience & Qualifications
Prior personal assistant, executive assistant, family assistant, or household support experience
Comfort coordinating elderly care logistics and sensitive family matters
A polished communication style and gracious presence
Strong organizational and time-management skills
Emotional steadiness and empathy
Familiarity with local Pacific Grove and Monterey Peninsula resources
Reliable transportation for errands
Comfortable with basic technology (email, calendars, shared notes)

Thursdays & Fridays
Approximately 2-4 hours/day, flexible schedule with opportunity to increase hours
Optional expansion Mon–Wed for those pursuing a hybrid EA role
