OFFICE PROCUREMENT COORDINATOR
Position Summary:
The Office and Procurement Coordinator supports daily operations by managing product and supply ordering, maintaining vendor relationships, and overseeing key administrative tasks within the front office. This role ensures that production teams receive materials on time, expenses are accurately tracked, and documentation meets company and food safety standards.
Key Responsibilities:
Manage the front office, greet visitors, answer phones, and direct inquiries appropriately.
Order raw materials, packaging, cleaning supplies, and other products needed for food production.
Maintain regular communication with approved vendors to confirm pricing, delivery schedules, and order accuracy.
Obtain quotes, evaluate vendor performance, and recommend cost-saving opportunities.
Track incoming orders to ensure timely delivery and prevent production delays.
Create & maintain spreadsheets to track daily, weekly, and monthly spending by category (production, maintenance, sanitation, etc.)
Maintain an organized filing system (digital and physical) for logs, reports, and compliance documents.
Prepare and print product labels, production documents, and reports as needed.
Ensure all procurement documents are stored in accordance with company and regulatory recordkeeping requirements.
Support internal audits and record requests related to food safety programs (HACCP, GMPs, etc.).
Assist with scheduling, correspondence, and other administrative tasks for the management team.
Reconcile purchase orders, invoices, and receipts for accuracy
Provide expense and purchasing summaries to management for budgeting and cost analysis.
Qualifications:
Minimum 2 years of experience in office administration, purchasing, or supply chain coordination (food manufacturing preferred).
Strong computer skills, including proficiency in Microsoft Excel, Word, and inventory or ERP systems.
Excellent communication and organizational skills. (Bilingual preferred, Spanish)
Knowledge of food safety documentation practices (HACCP, GMPs, or SQF) preferred.
Attention to detail and ability to manage multiple priorities in a fast-paced environment.
Time Management and organization are key to success in this position.
Work Environment:
This position is primarily office-based but requires regular coordination with production, quality assurance, and warehouse teams. The role may occasionally involve entering production areas to verify deliveries or documentation.
