Description of JobThis Program Assistant II position oversees administration, operations, and finances of the Capstone Design program, which entails participants (students and faculty) from several departments on campus. This position has oversight of three primary functions: financial administration, program operations, and administration of processes for faculty and students. Financial administration includes budget analysis and planning across several distinct funds and project allocations, budget exceptions management, fund account projections, tracking, and management, student-team budget tracking and management, purchasing oversight, and regular financial reporting to Capstone leadership team. The monitoring program operations included facilities (building, offices, classrooms, labs, and workshops), equipment and supplies, staff support, and events support. Administration of processes includes managing several workflows for purchasing, budget management, course scheduling, and travel as well as training for new faculty and students to understand and adhere to the program’s procedures. Primary Duties Include: Forfinancial administration, responsibilities include estimating/forecasting budget needs, projecting incoming funding levels, preparing budget documents, ensuring compliance with budget guidelines, recommending spending adjustments to remain within overall budget constraints, and interpreting budget materials, guidelines, and processes to help the leadership team exercise discretion in budgetary decision-making. This position oversees administration and operations of the Capstone Design program, which entails many participants and administrative/financial transactions. Managing the various workflows require procedures and infrastructure to direct, regulate, and control budget management, purchasing, and travel—as well as trainings for faculty and students to understand and adhere to the program’s procedures. The position providesadministrative support to ensure smooth and safe operation of all Capstone-dedicated facilities, including the new Thorson Design Center in the Labriola Innovation Hub, student-worker staffing of Capstone facilities, facilities equipment operations, and supplies management. The position supports the Capstone director in hiring, scheduling, and administering employment for a team of student workers to staff Capstone facilities and support Capstone students’ project work. The position supports the Capstone director in hiring and contracting adjunct faculty as project advisors. The position supports the Capstone Design stakeholder relations manager in planning and executing Capstone’s major events: twice annual Project Expos, Design Showcases, and Awards Ceremonies. Additional events may include special lectures, symposiums, workshops, and recruitment activities. Maintaining budgets and invoicing experience.

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to five (5) years

PREFERRED QUALIFICATIONS:

Prior relevant state experience.

Experience with academic scheduling.

Experience with Workday.

Experience with PowerAutomate.
