job detailsWe are seeking a highly organized and detail-oriented Administrative Assistant/Project Coordinator to join our team in the Neptune Beach area of Jacksonville. This role provides high-level project and contract administration support to the company's Project Management functions. The successful candidate will be responsible for assembling, tracking, logging, and maintaining various reports and contract documents, including customer invoicing sheets. This position requires proactive engagement with customers, vendors, and subcontractors to receive and distribute project-related documentation effectively. Job Requirements:

Proven experience in administrative support or project coordination, preferably in an industrial fabrication or construction environment.

Familiarity with Costpoint software.

strong organizational and multitasking skills with the ability to prioritize tasks effectively.

Excellent communication skills, both written and verbal, for interaction with customers, vendors, and team members.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other project management software.

Attention to detail and accuracy in document preparation and data entry.

Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:

Experience with contract administration and familiarity with fabrication processes.

Knowledge of project management methodologies and tools.

Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.

Project Administration:

Support Project Management functions by organizing and maintaining project files and records.

Assemble, track, and log project-related documents, including customer invoicing sheets, contracts, and reports.

Ensure all project documentation is accurate, up-to-date, and easily accessible to team members.

Contract Administration:

Assist in preparing and reviewing contract documents to ensure compliance with company policies and client requirements.

Maintain a comprehensive contract database and track contract status and renewals.

Customer and Vendor Engagement:

Serve as a point of contact for customers, vendors, and subcontractors regarding project documentation.

Facilitate the timely receipt and distribution of project-related information to relevant stakeholders.

Coordinate with vendors and subcontractors to obtain necessary documentation and information.

Reporting and Documentation:

Prepare and distribute regular project status reports to internal and external stakeholders.

Maintain accurate records of project timelines, deliverables, and milestones.

Administrative Support:

Provide administrative support to the Project Management team, including scheduling meetings, preparing agendas, and taking meeting minutes.

Assist with other administrative tasks as needed to ensure the smooth operation of the project team.
