General Information & ResponsibilitiesThe Office Assistant provides clerical assistance, customer service and support to the Disability Resources & Access Office. The Assistant is responsible for ensuring confidentiality, accurate data entry, assistive technology, working with computer software for students with disabilities, and working with a diverse faculty, staff, student body and the public.Description of DutiesDESCRIPTION OF ESSENTIAL DUTIES: a.Acts as a receptionist for the department; serves as first point of contact for visitors, staff, faculty and callers.b.Provides accurate and friendly customer service.c.Schedules and maintains appointments for the department and for the Manager of Disability Resources & Access.d.Provides general clerical support in addition to compiling data, preparing basic reports, and performing data entry into a database.e.Maintains confidential student records and general departmental files.f.Schedules and coordinates tests being taken in Disability Resources & Access; ensures that students receive appropriate accommodations for testing. g.Prepares exam notification forms for faculty, ensures tests are received for students.h.Proctors tests taken in Disability Resources & Access ensuring academic integrity; delivers completed tests to appropriate person or department in a timely manner.i.Ensures compliance with all testing procedures, practices and policies; responsible for documenting any testing irregularities and reporting accordingly j.Resolves problems or testing issues that may arise during testing sessionsk.Produces Books on Audio or obtains eBooks for students.l.Provides appropriate information about Disability Resources & Access to prospective students and/or makes necessary referrals to appropriate departments.m.Works directly with Teaching and Learning Department to coordinate and support web/Canvas accessibility for students. n.Assists in overseeing and scheduling student scribes, lab assistants and interpreters. o.Responsible for assistive technology loans and equipment tracking.p.Ensures that Disability Resources & Access information is distributed to all campus offices, prospective student folders are kept up-to-date, bulletin boards and banners are updated as needed.DESCRIPTION OF OTHER DUTIES: a.Performs other job-related duties as assigned.b.Must be comfortable learning new computer software for data entry and assistive technologyc.Minimal housekeeping duties such as sanitizing computer stations and ensuring the office lobby is in order.d.Completes all training required by the Collegee.Completes all training and keeps up to date with testing requirements for outside vendor exams, such as Accuplacer, Aleks, HESI and TEAS.OVERALL ACOUNTABILITIES: a.Demonstrates Black Hawk College core values. b.Accuracy, efficiency, and timeliness of work.c.Maintains confidentiality of records and information. d.Ability to work cooperatively with others.e.Ability to communicate in professional and pleasant manner with others.f.Ability to work with a diverse range of faculty, staff, students and the public.PRINCIPAL WORKING RELATIONSHIPS: a.Works directly and collaboratively with the Manager of Disability Resources & Access.b.Works directly with the Manager of Disability Resources & Access to assist in overseeing student employees, scribes, lab assistants and interpreters. c.Works directly with building ASC’s and facultyd.Works collaboratively with the Testing Centere.Works closely with Student Services Departments and staff including but not limited to Counselors, Student Life, Veteran’s Coordinators, Trio, Advising, etc.f.Works collaboratively with all other faculty, staff, and students.g.Works directly with prospective, new, continuing and returning studentsh.Works collaboratively with IT to troubleshoot testing issues and ensure computers are up to date.i.Works collaboratively with the East Campus Disability Resources & Access Office Assistantj.Works collaboratively with Adult Education students, faculty and staffEducation & Experience(To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
