Description We are offering a unique opportunity for an Administrative Assistant role in Grand Rapids, Michigan. The role functions primarily in a legal services environment and requires managing the records department of the firm. The selected candidate will be expected to handle data entry, data management, and document retrieval tasks, with a particular emphasis on maintaining our document management system. This role offers a contract employment opportunity and requires the candidate to be fully on-site.Responsibilities: Manage the records department of the firm, ensuring organized and efficient handling of documents Utilize the document management system for the retrieval and storage of legal documents Handle data entry and data management tasks, ensuring accuracy and efficiency Respond to requests for documents and information from legal services assistants Maintain a clear chain of custody for all files, ensuring their secure and accurate tracking Communicate effectively through email, keeping all relevant parties informed about the status of document requests Use Microsoft Office, Outlook, Word, Excel, and other software for daily tasks Operate high-speed scanners for digitizing records when required Ensure the organization of files during downtime and regularly update the document room Occasionally drive to different office locations for document retrieval, using personal transportation.Skills: Proficiency in Answering Inbound Calls Exceptional Customer Service skills Accurate and efficient Data Entry Effective Email Correspondence Ability to handle Inbound and Outbound Calls Proficiency in Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word Ability to Schedule Appointments Familiarity with handling Legal Files. Requirements Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint Ability to handle inbound and outbound calls with professionalism Exceptional customer service skills Experience with data entry and maintaining databases Strong written and verbal communication skills for email correspondence Ability to schedule appointments effectively Familiarity with legal files and document management Strong organizational skills and attention to detail Ability to multitask and prioritize tasks in a fast-paced environment Must have a proactive approach to problem-solving with strong decision-making skills detail oriented level of discretion and confidentiality.
