What we are looking for…

As a member of the VAST team, the Executive Assistant will provide comprehensive administrative and operational support to the CEO and leadership team. This individual will manage daily operations, assist with accounting and tax workflows, oversee client communications, and coordinate business development initiatives. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities while maintaining confidentiality and professionalism.

What you may be doing…

Executive Support

Manage and maintain the CEO’s calendar, ensuring efficient scheduling and prioritization.

Coordinate and monitor meetings, financial review sessions, and client appointments.

Assist with personal errands and serve as liaison between the CEO and staff on firm-wide initiatives and strategic goals.

Prepare and track project updates, ensuring timely execution on action items.

Accounting and Administrative Support

Oversee day-to-day administrative tasks including deposits, bill payments, A/P, and vendor communications.

Manage business licenses, tax filings, and insurance renewals (CHUBB, Hometown Health, etc.).

Handle facility management, including inspections, supplies, snacks, and mail distribution.

Serve as the first point of contact—answer phones, greet clients, and create a welcoming environment.

Workflow & Client Deliverables

Upload financial statements and manage outsourced service provider uploads.

Schedule financial review meetings and send statements to clients.

What you need to know…

3+ years of administrative or executive assistant experience (CPA or financial services experience preferred).

Strong proficiency in Microsoft Office 365, SharePoint/OneDrive, and cloud-based document management tools.

Experience with accounting systems and workflow tools such as Karbon and QuickBooks Online a plus.

Excellent organizational, communication, and problem-solving skills.

Ability to manage multiple priorities and maintain attention to detail in a fast-paced environment.
