We are seeking a professional, responsible and personable Front Desk Receptionist to join our team. This role is vital in creating a welcoming environment for our clients, agents, vendors and staff at the front desk and on the telephone. The ideal candidate will possess excellent telephone etiquette and customer service skills. They will have strong organizational abilities, along with strong written and oral communication skills.

Duties

- Greet and assist visitors in a friendly, courteous and professional manner.

- Manage incoming calls using multi-line phone systems, directing calls as necessary and/or take down exact messages and forward those messages accurately.

- Maintain the agent monthly floor schedule.

- Maintain the office machines i.e. printers, scanners, meter postage. Sort incoming mail and distribute.

- Perform exact data entry tasks accurately, ensuring all information is up to date.

- Provide clerical support as a personal assistant to qualifying broker and staff when needed.

- Maintain a clean and organized front desk and lobby area to create a positive first impression.

- Respond timely to inquiries from clients and provide accurate information about rentals.

Skills

- Excellent and professional customer service with the ability to communicate effectively with clients, agents, vendors and staff.

- Strong typing (minimum of 40 wpm), written, oral and computer skills with working knowledge of Excel, Word and Google Workspace.

- Proven time management and organization skills to handle multiple tasks efficiently while maintaining quality service.
