Foxfire Mountain House, a sought-after retreat destination in the scenic Catskills of New York, is searching for a highly organized and creative Event Manager to join its existing events team. The Event Manager will work closely with our existing Events and F&B teams to administer all phases of the events department, including but not limited to sales, planning, marketing, servicing, and administrative procedures. It is vitally important that the Foxfire brand is used as a point of reference to maintain a consistent guest experience throughout all events.

Established in 2016 by co-founders Eliza Clark and Tim Trojian, Foxfire Mountain House is celebrating its seventh year in business. From its inception, our venue has focused on crafting one-of-a-kind experiences for our clientele, offering everything from intimate weekend escapes to extravagant wedding celebrations. We've garnered media attention for our distinctive design, culinary offerings, and signature wedding events. We've recently lost a sister property, Lost Fox Inn, located in Litchfield, Connecticut, and are excited about expanding our team for this upcoming venture!

Responsibilities
Event Planning and Coordination:
- Working in tandem with our Events team to plan and execute 35 retreat style events annually - primarily wedding retreats. Foxfire is excited to be in its 9th wedding season in 2024 and will be hosting events from May through early-November. The Event Manager will be hands on with (in no particular order): client tastings, email communications, development of event timelines, menus, BEOs and seating charts, liaising with vendors to ensure smooth communication, receiving rental deliveries, greeting clients at check-in and placing gift bags, running rehearsal dinners, welcome drinks, ceremonies, receptions, late night drinks and check out breakfasts.
- The Event Manager will be experienced in running their own events and confident in planning and executing retreat style events with support from our existing Events and F&B team.
- The Event Manager will be hands-on in day of event set up, from greeting clients and their families, supporting vendors, liaising between guests and vendors and FMH catering team, through end of night clean up, carefully returning couple’s personal items.
In-House Events:
- The Event Manager will be responsible for executing in-house events with support from our General Manager including Stay & Dine retreats and special event programming. In the past, we have hosted mid-summer BBQs, pondside whiskey pairing dinners, wine pairing dinners, wintertime amaro dinners on our Moroccan tiled veranda and many other culinary (and music!) based events. The Events Manager will liaise with our BOH & FOH teams to ensure smooth communication and assist with set up and execution of these events.
Sales:
- The Event Manager will host site visits with prospective clients and share the Foxfire brand in an enthusiastic and energetic manner.
Inventory Management:
- The Event Manager will maintain inventory on event specific supplies and ensure that event supplies are sorted and organized at all times.
Requirements
- 3-5 years of experience in event planning/production or management.
- Professional appearance and demeanor.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills. A confident, yet tactful, communicator.
- Strong networking abilities and ability to build rapport effortlessly.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in event management, hotel, restaurant and productivity software and tools including, but not limited to: Google Suite, Social Tables, Toast POS, RESY, Mews or other PMS software.
- Availability to work weekends and holidays as scheduled.
- It is essential for the Event Manager to be able to work 10-12 hour event days, all while representing the Foxfire brand.
Preferred Skills
- Experience working in a boutique hotel and/or restaurant setting.
- Familiarity with the Hudson Valley/Catskills region and local vendor landscape.
- Bachelor’s degree in Event Management, Hospitality, or related field
Compensation & Benefits
- $65,000-$70,000 annual salary
