Description We are offering a long term contract employment opportunity for an Administrative Assistant in Latham, New York. As part of our team, your role will primarily involve coordinating office activities, managing inquiries, and facilitating daily operations within the office. This role is integral to the smooth running of our operations, contributing to an efficient and productive work environment.Responsibilities: Oversee the reception area, including greeting visitors and responding to telephone and in-person requests for information. Handle incoming and outgoing office correspondence, ensuring timely delivery and receipt. Schedule and organize meetings and events, both internal and external, ensuring smooth operations. Maintain office equipment, identifying any issues and arranging for necessary repairs. Order and manage office supplies to ensure a well-stocked and resourceful workspace. Execute administrative tasks such as filing, typing, copying, and generating reports and correspondence. Assist in providing support to both field and office staff, promoting a cohesive team environment. Manage the scheduling of appointments, optimizing time management within the office. Handle data entry tasks and manage customer service inquiries, ensuring customer satisfaction and efficient office operations. Demonstrate proficiency in Microsoft Office Programs and Adobe InDesign, utilizing these tools to enhance productivity and communication. Requirements Must possess a minimum of 1 year experience in an administrative role, e3xperience from an engineering or architectual firm is helpful Proficient in answering inbound calls and handling inbound outbound calls Strong customer service skills and ability to handle client inquiries professionally Demonstrated experience in data entry and maintaining accurate records Ability to manage email correspondence effectively and professionally Proficient in using Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word Experience in scheduling appointments and managing calendars Excellent interpersonal and communication skills Strong organizational skills and attention to detail Ability to multitask and prioritize tasks effectively High school diploma or equivalent required, higher education or certifications a plus.Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
