RESPONSIBILITIES The Senior Manager Office Services position is responsible for managing and facilitating the daily operations of the Office Services unit at our 2 Broadway and Randall's Island locations. This role involves developing procedures and policies to ensure efficient delivery of office services, including off-site records retention, tenant office space requests, mail and messenger processing, office equipment procurement, and facilities maintenance. This position is cri tical in ensuring the smooth operation and continuous improvement of office services, directly impacting the overall efficiency and effectiveness of the organization . This includes:

Oversee daily operations of the Office Services unit.

Develop and implement procedures and policies to meet organizational needs.

Maintain and monitor the Office Services budget, including contract renewals.

Liaise with 2 Broadway Building Services for service repairs, space alterations/conversions, security, and other related office functions.

Ensure timely mail distribution throughout the agency with both inter-office and external carriers.

Oversee approximately seven agency-wide contracts totaling about $1.3 million.

Communicate with Senior Management on activities and projects impacting staff on B&T floors at 2 Broadway and changes impacting mail run delivery activities.

Coordinate and plan space utilization for new hires and employee relocations within the B&T floors at 2 Broadway.

Procure furniture, copy room supplies, and pantry replenishments, ensuring alignment with agency policies and procedures.

Evaluate and recommend enhancements or additions to office services, furniture, and equipment to manage costs and achieve efficiencies.

Direct and develop staff to ensure high-quality service delivery.

Manage a team of four, including two building management porters assigned to Bridges and Tunnels at 2 Broadway.

Provide input on strategic decisions affecting the Office Services unit.

Assist the Chief of Staff and Chief Administrative Officer with planning and forecasting for future needs.

Support the Chief of Staff and Chief Administrative Officer with special projects as necessary.

Coordinate quarterly recertification of 2 Broadway floor card reader access for active and inactive employees/consultants with the MTAHQ Pass Office.

QUALIFICATIONS

Bachelor’s Business Administration, Business Management, Public Administration, Management, Finance, or Planning preferred. Must have a minimum of eight (8) years related experience, including at least four (4) years in a mana gerial or supervisory role in a large, multi-faceted organization. An equivalent combination of education and experience may be considered.

Experience in working with people on a customer service level.

Experience in contract management.

Experience in management with highly complex systems preferred.

Must be a proven leader as a change agent and creative/innovative thinker with the ability to align business goals with solutions to drive process improvements.

Proficient in Microsoft Office Suite and document management software.

Excellent communication and interpersonal skills.

Proven ability to collaborate with a broad range of stakeholders and drive outcomes.

Demonstrated ability to effectively work in a high-profile, high-pressure environment.

Strong project management skills. Must have focus and ability to deliver on results, organizational effectiveness, and continuous improvement within tight deadlines

Must possess excellent team building, listening, problem solving, and prioritization skills.

Knowledge of records management, practices and principles.

Knowledge of computer systems, with specialized skill in using records management software.

PREFERRED

Knowledge of software products such as Visio, Power BI, Kronos,Tableau

Knowledge of HRIS Systems such as PeopleSoft
