Description We are inviting applications for the role of Office Assistant located in PATCHOGUE, New York. This role is focused on office management, clerical duties, and providing support to the Quality Assurance Department. The individual will be an integral part of our team, contributing to the smooth running of the office and the achievement of our goals within the non-profit industry. Responsibilities: Facilitate clerical support and manage office supplies and equipment to ensure efficient operation of the office. Assist in the preparation and processing of correspondence, memos, and reports, including meeting minutes. Sort and separate incoming mail and maintain an organized filing system. Ensure completion of documents and collect required signatures. Collect and compile information as needed from various departments. Maintain a confidential filing system for Quality Assurance and update binders for the department as directed. Manage details of appointments and daily schedules for the Director of Quality Assurance. Report child abuse and neglect to Child Protective Services in line with the organization's Policies and Procedures. Provide courteous, accurate, and timely responses to requests for information and maintain pleasant interactions with staff, volunteers, vendors, parents, and community contacts. Engage staff, parents, vendors, and volunteers in a sensitive and appropriate manner and engage in training and other opportunities to enhance professionally competent practices. Operate a variety of office machines and assist with the reception area as needed. Requirements Proficiency in answering and managing a multi-line phone system is required. Must possess strong skills in e-Filing and external filings. Experience with various filing systems, including paper filing, is necessary. Must demonstrate ability to perform data entry tasks accurately and efficiently. Familiarity with office procedures and basic accounting principles is desired. Strong organizational and time management skills are required. Excellent written and verbal communication skills are necessary. Proficiency in MS Office Suite (Word, Excel, PowerPoint) is required. Must be able to work independently and as part of a team. Must have the ability to handle confidential information. Excellent problem-solving skills and attention to detail are required. Must be able to adapt to changing work environments and priorities. Previous experience in a similar role within a non-profit organization is desirable but not necessary.
