We want you to apply!Job Summary and QualificationsThe Associate Director of Meetings and Events will oversee the management and execution for all corporate events, hosted conferences, advisory board meetings, and trade shows that support the marketing and corporate strategic plans for HealthTrust, AdvantageTrust and Valify, and related service lines. The ideal candidate will have a proven track record of setting event strategies to achieve the organization’s objectives, developing project management and staffing plans, establishing realistic budgets, conference revenue and expense targets, selecting and leading volunteer teams, selecting vendors, and negotiating a broad array of contracts. This position will apply best-in-class event management and special event techniques to improve our presence at conferences and our attendee experience.What you will do in this role:

Scheduling, planning, and organizing conference activities for all corporate and VIP events, including HealthTrust University Conference, HealthTrust Innovation Summit, etc. Responsibilities for each event include goal and objective setting, site selection, agenda development, logistics planning, theme party design and entertainment, systems development, vendor selection, revenue, and expense target development, overall project/timeline development, issue mitigation, and event metric establishment.

Negotiate hotel and conference site contracts and concessions, working closely with legal and third-party event consultants to finalize.

Develop expense budgets and revenue goals, ensuring that all targets are achieved. Work closely with finance to oversee all expenses, revenue collection, and systems interfaces, including regular reconciliation to ensure accurate financial information for each event.

Establish pricing structure for exhibits and sponsorships, determine sales strategy and manage the sales of the exhibit and sponsorships.

Lead the development of all event registration system selection (e.g., Cvent), process flows, and interfaces to support various attendee types.

Work across departments to recruit, train and manage volunteer staff, establishing an organizational structure to support all activities with shared accountability and rewards.

Work across departments to identify individual event needs and build customized plans to meet their goals.

Work with the leadership team to oversee the selection of speakers, entertainers, and education curriculum.

Manage logistics for all event-related activities, including affiliate meetings.

Establish metrics and processes to measure events and show success, providing analysis and recommendations for continual program improvement.

Present to all levels of management regarding events, ensuring that logistics, registration, and scheduling needs are met.

Maintain up-to-date healthcare industry knowledge of trends, technologies, and best practices for shows and events.

Knowledge, Skills & Abilities

10+ years of experience in large-scale event planning within the healthcare industry with job-related responsibilities in marketing, trade shows, and events.

Knowledge of exhibit planning best practices within the trade show/medical industry a must.

Demonstrated ability to work independently and communicate effectively in both written and verbal form, and possess a high degree of organization, detail & creativity.

Enthusiastic and high-energy individual with an exceptional time-management aptitude and ability to handle multiple projects with ease.

Experience developing and managing budgets and all related accounting requirements.

Proven project management experience.

Experienced in organizing and leading volunteer teams.

Excellent customer service skills.

Technical Expertise

Demonstrated proficiency in Windows and Microsoft Office products.

Extensive experience using Excel to manage budgets and reconciliations.

Exceptional multi-tasking and trouble-shooting skills.

Proficient in using project management tools to build timelines and assignments.

Experience using CVENT and Salesforce preferred.

Skilled at establishing and maintaining productive working relationships with staff and volunteers.

Travel is required for this position (approximately 10%).

What qualifications you will need:

Bachelor’s degree in event planning, hospitality management, marketing, communications, or a related discipline.

Certified meeting professional (CMP), meeting manager, or trade show professional preferred.
