Description A company in North Houston is in need of an Administrative Assistant on a temporary to full-time basis Duties include:➢ Primary ‘go to’ person for all administrative support functions. ➢ Data entry and maintenance of company databases, directories and records.➢ Coordinate meetings, conference calls and associated calendar maintenance➢ Prepare and edit reports, spread sheets and presentations as required➢ Manage filing system➢ Administrative duties of answering incoming calls, processing mail, scanning, copying, FedEx➢ Support Project Management and Marketing staff as necessary. ➢ Coordinate maintenance and ordering of Inspector equipment and supplies➢ Assist employees on timesheet and reporting requirements and policies➢ Scan, email and file electronic and paper reports for all contracts➢ Ad hoc projects assigned by Project Management staff➢ Arrange travel as necessary for office and field staff ➢ Order supplies and maintain office equipmentRequirements Proficiency in Microsoft Word and Microsoft Excel Experience in handling Email Correspondence Ability to Schedule Appointments and manage calendars Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to work independently and as part of a team Experience in an administrative role within the architecture industry preferred Ability to prioritize and manage multiple tasks simultaneously High level of discretion and confidentiality for sensitive information Basic understanding of architecture terminology and processes is desirable Strong problem-solving skills and ability to think critically Ability to adapt to changing work environments and schedules High school diploma or equivalent required, higher education or certifications in related field preferred Previous customer service experience is advantageous.
