Description We are offering an opportunity for an Executive Assistant to be a part of our team based in Irving, Texas. The chosen candidate will primarily support our finance teams, CEO and CFO, ensuring smooth day-to-day operations. This role will be 100% onsite and entails a variety of tasks including managing schedules, coordinating meetings, processing expense reports and maintaining a conducive office environment.Responsibilities: Handle administrative tasks such as drafting and editing emails, memos, and other communications for the CEO, CFO, and Senior Leadership Team Assist with the coordination of domestic travel arrangements for the CEO Oversee the shipping and receiving of asset management to and from the office location Facilitate office management duties and ensure a suitable and welcoming environment for employees and customers Attend Finance & Accounting team meetings and actively participate as a key member of the administrative support team Organize and manage access for office-based staff to the building, office, workspace, and shared conference rooms Maintain and regularly update desktop process guides for key activities and tasks Support the coordination of meetings, schedules and manage the calendar Assist in the processing of expense reimbursements. Requirements Possess proficiency in Concur for managing expenses and invoices. Demonstrate experience with CRM software to effectively manage customer relationships. Have expertise in Calendar Management to organize and schedule appointments. Exhibit strong Communication skills to interact with team members and clients effectively. Able to handle Conference Calls, including scheduling, inviting participants, and setting up the necessary technology. Capable of managing Correspondence, including sorting, prioritizing and responding to emails. Experienced in making Travel Arrangements, including booking flights, hotels, and arranging transport. Ability to Coordinate Meetings, including setting agendas, inviting attendees, and arranging necessary logistics. Skilled in Operations Coordination, including aligning team activities and facilitating communication between departments. Experienced in providing Operations Support, including troubleshooting, training staff, and maintaining office equipment. Have a strong background in Administrative Office tasks, including filing, typing, and managing office supplies.
