Full Time Personal Assistant opening in Seattle

Seeking very proactive and flexible PA to manage the personal and household needs of a busy executive. We need a warm, approachable career PA with excellent judgment who thrives on handling an assortment of tasks. This is a newly created role that will evolve as the principal’s life becomes more complex.

This is the perfect role for someone who has solid experience and a proven track record working as a personal assistant. You are someone with extreme attention to detail, great follow-through and the ability to think independently. Someone who is genuinely iInterested and capable of managing multiple projects and likes variety in their work load is ideal.

Responsibilities include:

Thorough research for a myriad of household projects

Make personal travel arrangements and handle all logistics (including large extended family and international travel planning)

Liaise with the EA, syncing with business travel

Organize and coordinate household activities (ex: liaise with house cleaner of 10 years and dog walker, schedule routine maintenance and furniture deliveries)

Coordinate home project work (ex: liaise with contractors and vendors for two homes)

Assist with side business ventures

Make dinner, concert and event reservations

Arrange social event planning (creative themes, invitations, arrange caterers)

Gift sourcing, purchasing and shipping

Create systems and tracking for gifts, household inventories, household manuals

Manage general personal errands (ex: drop off/pick up dry cleaning, drugstore) in conjunction with the dog watcher

Be back up dog watcher if primary one is absent

General home office support and organization (ex: bill management, scan documents, retrieve and sort mail, manage contacts for annual holiday mailings)

Auto maintenance

Requirements:

Outstanding organization and time management skills

Anticipate needs and solve problems before they arise

Excellent verbal and written communication skills with a direct approach

Comfortable with ambiguity and able to apply great judgment

Ability to distill information down to a concise presentation with 2-3 solid recommendations for the principal

Natural instinct to hustle and accomplish tasks while maintaining a calm demeanor

Ability to proactively and confidently make decisions with limited direction

Tact and discretion when dealing with confidential information

5+ years full-time personal assistant and household manager experience

Knowledge of city and resource

Must be authorized to work in the US, Valid US Passport

Must be comfortable with dogs (2 small ones that are super friendly)

NDA, background check and verifiable references required

We are seeking someone for the VERY long term. Principal has a very stable life and wants a Personal Assistant with longevity in their past roles. This will be a 25-40 hour/week position depending on the agreed upon scope of the job. Happy to offer FT employment if that is what you desire. If you prefer 25-30 hours/week, it can be structured that way. Most importantly, we are seeking great chemistry with the PA. Guaranteed hours, salary and benefits.
