Provide program operations coordination for HFS Facilities Services and Planning including administrative organization of the apartment and residence hall maintenance program, residential transitions program, and maintenance communications/notifications.PROGRAM DESCRIPTION

HFS Facilities is responsible for the maintenance and operation of the physical environment managed by the UW Housing & Food Service department. HFS manages 3.5 million square feet of housing and dining facilities of varying ages and types. The program serves a diverse set of clients with dynamic needs. Coordination of maintenance program components requires independent judgement in prioritizing, determining appropriate response, and interpreting policies and procedures.RESPONSIBILITIES Residence Hall Maintenance and Operations Program Support:

Track and analyze maintenance work order trends, status, and completion.

Document and track scope of work, project requirements, timelines, and budget via SharePoint or Excel.

Navigate AiM work order system. Daily approval of customer requests and regular writing of work orders.

Coordinate documentation for seasonal residence hall maintenance work including the collection of summer work list and verification of work completion.

Support planning, implementation, and coordination of move-in operations, including procurement and application of city permits and neighborhood communications.

Coordinate annual housing bike abatement program.

Oversee annual City of Seattle permit renewal program for all HFS facilities.

Coordinate all HFS maintenance communications/notifications to residents, staff, and partners.

Maintain schedules for emergency evacuation drills, fire alarm sequence testing, and other fire and life safety activities.

Communicate project status to internal and external clients.

Escort contractors working in HFS facilities.

Provide specialized support to cross-functional teams in the logistical coordination of housing turn periods.

Support administrative efforts of HFS Emergency Management and Preparedness Committee, Residential Transitions Groups, and HFS Operations Group.Other Duties:

Support Terry Central Office front desk coverage, as needed/assigned.

Support the Facilities Services portion of the HFS website and Sharepoint site.

Conduct site inspections and assess fieldwork.

Support the Facilities Services key management and distribution.

Provide reception, information and assistance to all residents, staff, vendors and consultants requesting services from the HFS Facilities program.

Support other unit projects and perform related duties as assigned.POSITION DIMENSIONS

The position supports a complex program administered by multiple managers. The ability to develop a working knowledge of facilities operations and program administration are keys to successful performance. Though hired into a specific working title or location, all employees of Housing & Food Services are expected to support overall operations by: participating in cross-training, providing coverage during staff absences or high business volume, participating in production and/or service of special events, and being willing and able to perform additional, related duties and/or be reassigned to another work unit.WORKING CONDITIONS

Works primarily in an office environment, with a daytime Monday-Friday schedule. Occasional evening and weekend work will be required to support operational needs. Up to one day of remote work per week may be approved.SUPERVISION RESPONSIBILITIES

Supervision of seasonal student employees, as needed.MINIMUM QUALIFICATIONS

High school graduation or equivalent AND two years of experience supporting maintenance or facilities operations OR equivalent education/experience.Experience that demonstrates:

Attention to detail and strong organizational skills

Strong oral, organizational and written communication skills and ability to communicate clearly with a diverse population

Proficiency with Microsoft Office suite, including Outlook, Word, Excel and PowerPointDESIRED QUALIFICATIONS

Experience working within a university housing or facilities management environment

Familiarity with HFS and the University of Washington

Success working independently and as a team member

Experience supporting programs with multiple stakeholders

Experience with budget maintenance and monitoring
