We are seeking a detail-oriented and organized Administrative Assistant to provide administrative support to our C-level staff, including CEO and COO. The ideal candidate will be proactive, efficient, and capable of managing multiple tasks in a fast-paced environment.
Job Duties and Responsibilities:
- Manage and maintain executives' schedules, appointments, and travel arrangements
- Prepare and organize documents, reports, and presentations for meetings and events
- Screen and direct phone calls and emails to appropriate parties
- Coordinate and schedule meetings, conferences, and other events
- Take minutes during meetings and distribute them to attendees
- Perform general clerical duties, such as filing, photocopying, and emailing.
- Assist in preparing reports, creating letters, memo’s and documentation of existing and new processes and managing the document repositories.
- Liaise with internal departments and external partners on behalf of executives
- Conduct research and compile data as needed
- Handle sensitive and confidential information with discretion and professionalism
Required Skills:
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Ability to prioritize tasks and work under pressure
- Proactive problem-solving abilities
- Professional demeanor and strong interpersonal skills
- Ability to maintain confidentiality and handle sensitive information
- Prior experience supporting C-level executives is preferred but not required
- Bachelor's degree in Business Administration or related field is a plus
