Part-Time Executive Assistant & Operations Support (Startups)
Location: Campbell/San Jose)
Type: Part-time (10–20 hrs/week to start)

About the Role:
I’m looking for an experienced, proactive, seasoned part-time Executive Assistant / Operations Support Partner to help me support startup clients while I scale my startup venture. This is a high-trust role for someone who can jump in quickly, communicate clearly, pay exceptional attention-to-detail, and bring calm, structure, and follow-through to a fast-moving environment.
You’ll work directly with me to manage priorities, keep projects moving, and ensure client and community touchpoints feel polished and professional.
What You’ll Do:
- Executive & Business Support
- Own inbox support (draft replies, follow-ups, nudges, and tracking outstanding items)
- Calendar management + scheduling (across clients, partners, and program commitments)
- Create/maintain SOPs, checklists, and “how we work” docs
- Meeting prep + notes + action item tracking + follow-through
- Operations & Project Coordination
- Help run weekly workflows across my venture and for new startup clients
- Build simple project plans and keep tasks moving (Google Workspace, Korgi, MSO365)
- Coordinate contractors/partners (design, web, social, editing, etc.)
- Light research, document creation, and formatting (Google Workspace / MS Office)
- Client Experience & Community Support
- Maintain organized client files, deliverables, and timelines
- Support onboarding for new clients (intake forms, welcome emails, next steps)
- Assist with event/workshop logistics (Zoom setup, agendas, follow-up emails, surveys)
- Ensure communication is warm, clear, and aligned with brand voice
You’re a Great Fit If You…
- Have 3+ years supporting an executive/founder (EA, Chief of Staff, Ops Coordinator, Program Manager, or similar)
- Can “see around corners” and anticipate what’s needed next
- Are an excellent communicator (written + verbal) — responsive, professional, and kind
- Love organizing chaos into simple systems and clear action steps
- Are comfortable with deadlines, shifting priorities, and being the steady hand
- Have strong people skills — you can communicate with clients, partners, and community members confidently
Tools You Might Use (or learn quickly):
- Google Workspace, Microsoft Office, Slack, Zoom, Calendly, Korgi/Notion/Asana/Trello/ClickUp, Canva (basic), Airtable (nice-to-have).
Nice-to-Haves (Not required):
- Startup experience (early-stage pace, founder support)
- Experience supporting digital products, online courses, or community programs
- Light copywriting / editing (emails, docs, posts)
- HR/People Ops familiarity

- Inbox and calendar feel under control with clear weekly priorities
- Projects are tracked and moving without constant reminders
- Clients feel supported and communication stays consistent
- SOPs/checklists begin forming a repeatable operating system
- I can stay focused on strategic work because execution is supported
