We are looking for a professional, well-spoken, and experienced Bilingual Legal Front Office Assistant to join our team to handle legal administrative duties including a multi-line phone system. This is a full-time position with the hours of 8:00 am to 5:00 pm, Monday through Friday. Spanish speaking required.
Job Description:
As the Legal Front Office Assistant, you will be the face and voice of our firm, responsible for managing the front office and creating a welcoming and professional environment for our clients and visitors, as well as providing administrative support to the legal team. The ideal candidate will possess strong communication and customer service skills, have above-average computer/technical skills, excellent organizational skills, and an exceptional attention to detail.
Prior experience using Filevine legal case management software, is preferred, but not required. Filevine is essential to our firm’s day-to-day operations and the ideal candidate will possess the technical ability to quickly learn this software.
Primary Responsibilities:
Greeting clients and visitors in a professional and courteous manner
Answering incoming phone calls, transferring calls, and taking messages
Maintaining a professional and courteous demeanor at all times
Assisting with incoming and outgoing mail and shipments
Maintaining the office’s appearance, ordering and stocking office supplies, and coordinating maintenance requests
Data entry, such as case-related costs
Providing general administrative support to the legal team, such as drafting and sending letters, making copies, and scanning
Performing other office and administrative duties as needed
Requirements:
High school diploma or equivalent; College certificate or degree preferred
Fluency in English and Spanish
Friendly and professional demeanor
2 years related experience in a law firm or professional office setting
Minimum of 2 years of experience handling a high-volume multi-line phone system
Dependable and punctual with excellent time management skills
Superior communication skills, both verbal and written
Strong organizational skills with attention to detail and accuracy
Proficiency in Microsoft Office, including Word, Excel, and Outlook
Proficiency in Adobe Acrobat
Prior experience using Filevine legal case management software preferred
Knowledge of legal terminology and procedures is a plus, especially with regard to the practice of personal injury law
Ability to multi-task and work under pressure in a fast-paced environment
