The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks, including managing schedules, coordinating meetings, preparing reports, and assisting with day-to-day operations. The ideal candidate is resourceful, organized, and able to handle confidential information with integrity.
Key Responsibilities:
Answer and direct phone calls and emails in a professional manner
Organize and schedule appointments, meetings, and events
Maintain physical and digital filing systems
Prepare and edit correspondence, reports, and presentations
Order office supplies and maintain inventory
Assist in the preparation of regularly scheduled reports
Greet and assist visitors to the office
Support team members with various administrative tasks as needed
Perform data entry and maintain accurate records
Handle sensitive information in a confidential manner
Qualifications:
Proven experience as an administrative assistant, office assistant, or similar role
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent time management and organizational skills
Strong written and verbal communication skills
High attention to detail and problem-solving skill
Ability to multitask and prioritize work
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
Preferred Skills:
Experience with office equipment (e.g., printers, copiers, scanners)
Familiarity with calendar management tools and scheduling software
Basic bookkeeping or accounting knowledge is a plus
