New York Life is a relationship-based company and appreciates how both virtual and in-person interactions support our culture.GBSThis position primarily involves a hybrid work schedule - working remotely: Monday & Friday / on site: Tuesday, Wednesday and Thursday.Reporting to the Head of Solutions, the Administrative Support Specialist is responsible for providing administrative support to key business functions and programs. The ideal candidate is detail-oriented, a quick learner, can work in a fast-paced environment, and possesses decisive leadership skills to deliver strong, accurate results.Core Responsibilities:

Provides administrative support to various programs including data entry, creation and maintenance of spreadsheets, presentations, etc.

Develops mechanism to intake new work, prioritizes based on business urgency, and ensures accurate, timely output of requests.

Responsible for partnering with Accounts Payable to submit and track payment of vendor invoices.

Owns critical and continuous weekly and monthly tasks, including tracking and monthly reporting of key functions.

Development and maintenance of SharePoint sites, distribution lists, and calendars.

Supports meetings by setting up and coordinating meetings, building presentations, coordinating and delivering pre-work, and ensuring follow ups are assigned and shared.

Other administrative tasks as assigned.

Requirements:

Bachelor’s degree; 1+ year of professional experience preferred but not required.

Ability to prioritize and meet tight deadlines.

Accountable with proven ability to deliver results; willingness to jump in, own work and make meaningful progress against goals.

Detail oriented with a focus on accuracy.

Comfortable with making decisions to progress work.

Strong working knowledge of Word, Excel, SharePoint, and PowerPoint.
