The schedule for this full-time position will be Monday through Friday; 8:00 a.m. to 5:00 p.m. This position is required to work in-office. The work environment is a quiet corporate office setting where colleagues work alongside each other as a team!
Primary job duties include the following:
Invoice Processing: Receive and process invoices from subcontractors, vendors or suppliers for goods or services rendered to the company.
Invoice Verification: Verify that invoices are accurate, properly coded, and approved for payment according to company policies and procedures.
Data Entry: Enter invoice details into the accounting system or software accurately and in a timely manner
Responsible for creating and maintaining vendor accounts.
Reconciliation: Reconcile vendor statements with accounts payable records to ensure all invoices are accounted for and paid correctly.
Vendor Communication: Communicate with vendors regarding invoice discrepancies, payment inquiries, and other accounts payable-related matters.
Maintaining Records: Maintain accurate and organized records of accounts payable transactions, including invoices, payments, and correspondence and subcontractor list
Process Improvement: Identify opportunities for process improvements in accounts payable workflows to enhance efficiency and effectiveness.
Keep up to date all subcontractor files and COI's
Create subcontractor agreements
Monthly Closing
Assist with budgeting and special projects.

Answer phones when needed
Other duties as assigned.
Assist Office Manager with job duties as assigned.
QUALIFICATIONS & SKILLS:
Microsoft Office Experience Required especially Excel, Outlook & Word.
Excellent communication skills and MUST have attention to detail.
Excellent problem-solving skills are required.
Advanced degree preferred; High School Diploma or equivalent required
Relevant Payables experience/ Prior Administrative experience required.
Bilingual English/Spanish a must.
Ability to meet deadlines.
Ability to work independently and with minimal instructions.
Must be self-motivated to be able to multi-task
Team player attitude and punctuality are a must.
Excellent organizational, typing, phone, and computer skills.
Benefits:
Pay rate 35,000 - 45,000 per year depending on experience
