We are seeking a highly organized and proactive Administrative Assistant to support daily office
operations, order processing, and logistics. This role ensures smooth workflows, effective
communication between teams, and accurate management of office and shipping tasks. The ideal
candidate is detail oriented, efficient, and capable of multitasking in a fast-paced environment.
Responsibilities:
Oversee daily office operations to ensure a smooth and efficient workflow.
Maintain office supplies and manage inventory levels.
Ensure the office environment remains clean, organized and professional.
Organize and schedule the weekly Milk Run to ensure timely deliveries.
Answer and direct incoming phone calls and emails promptly and professionally.
Serve as a communication bridge between coworkers, particularly the Customer Service
team and the Logistics Manager.
Coordinate with drivers regarding the arrival and dispatch of incoming and outgoing
products.
Enter and process customer orders in QuickBooks accurately and timely.
Create Bill of Ladings (BOL’s), packing slips, and Hussmann packages.
Organize and file documents, and send daily packages to the Whittier office.
Input and maintain accurate data in QuickBooks and the Shipping Schedule.
Assist with inventory management and generate shipping reports weekly.
Provide general administrative support to management and teams.
Print Work Orders for production and add them to the shipping schedule.
Qualifications:
Experience in administrative support, order entry, and office coordination.
Strong organizational and multitasking skills.
Proficiency with Word, Excel, Outlook, and QuickBooks is a plus.
Excellent communication skills, both verbal and written.
Detail oriented and able to manage multiple responsibilities efficiently.
Ability to work collaboratively and proactively in a fast-paced environment.
