Accounting Specialist

General Description: The Accounting Specialist has primary responsibility for the day-to-day accounting needs. Wholesale and direct to consumer sales recording, accounts receivable, accounts payable and reconciliations all fall under the responsibility of this position.

Essential Responsibilities and Duties:

Daily & Weekly

Record into the accounting software:

Customer sales and deposits

Vendor invoices

Journal entries

Follow up with customers and clients on past due balances, assess finance charges.

Direct communication with customers, vendors and co-workers on a regular basis.

Manage company purchase order system.

Weekly check run to pay outstanding invoices.

Reconciliation of checking account, hospitality cash drawer and petty cash.

Reconciliation of credit card charges.

Fulfill distribution orders.

Monthly

Preparation of client billing in cooperation with winemaking team.

Reconciliation of various general ledger accounts and reports.

Prepare and send monthly compliance reports.

Assist with month end reporting requirements.

Assist with physical case goods inventory reconciliation.

Maintain inventory and valuation of bulk wines in cooperation with winemaking team.

Quarterly & Annually

Preparation and filing of quarterly winery reports.

Prepare and mail annual 1099 forms.

As Needed

Ad hoc analysis and special projects.

Assist in reconciling large project invoicing and management.

Office supply ordering.

Qualifications:

Ability to set priorities and work independently within set guidelines; display appropriate sense of urgency.

Strong written and oral communication skills.

Ability to multi-task effectively and efficiently, problem solve.

Positive and professional attitude; self-motivated.

Strong attention to detail.

Position Requirements:

1-3 years of accounting experience.

Excellent working knowledge of QuickBooks and Microsoft Suite is a must.

Ability to complete work to meet strict compliance deadlines.

Completes all required personnel paperwork, i.e. timecards, missed meal forms, incident reports, etc.

Team player who is an effective communicator, open minded, has good listening skills, and willing to adapt and learn in a changing environment.

Self-motivated, detail-oriented and able to prioritize multiple responsibilities.
