Part-Time Administrative Assistant / Front Desk Receptionist (In-Person)

Location: Camarillo, CA

Schedule: Monday – Thursday, 9:00 a.m. – 2:00 p.m.

About the Role:

Our established wealth management firm in Camarillo is seeking a professional, personable Administrative Assistant / Front Desk Receptionist to support our advisors and ensure a welcoming experience for our clients. The ideal candidate is organized, detail-oriented, and enjoys working in a team-oriented, client-focused environment.

This part-time, in-person position is ideal for someone with strong administrative skills who enjoys supporting a professional team in a client-focused environment.

Key Responsibilities:

Serve as the first point of contact for clients and visitors; greet guests warmly and offer beverages to ensure a comfortable office experience.

Answer incoming phone calls and assist clients with general inquiries in a professional and courteous manner.

Receive and distribute mail and package deliveries daily.

Schedule advisor review appointments and make client reminder calls.

Create Zoom links for virtual appointments as needed.

Assist with client meeting preparation, including assembling review reports, and maintaining organized client files.

Order and maintain office supplies and marketing materials as needed.

Make reservations as needed for team or client events.

Assist with event planning and coordination for client appreciation or educational events.

Send out client gifts, birthday cards, and anniversary cards (including hand-addressing envelopes).

Participate in team meetings and contribute to maintaining a positive, efficient office environment.

Qualifications:

Prior administrative or front-desk experience in a professional office environment preferred.

Excellent communication and interpersonal skills with a warm, professional demeanor.

Strong organizational skills and attention to detail.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with CRM systems is a plus.

Ability to manage multiple tasks and prioritize effectively in a fast-paced office.

Discretion and professionalism when handling confidential financial and client information.

Work Environment:

This role requires physical presence in our Camarillo office

Monday through Thursday, 9:00 a.m. to 2:00 p.m.
