Description We are offering a contract to permanent employment opportunity for an Executive Assistant role in Norfolk, Virginia. The role involves managing and maintaining the schedules of executives, facilitating communication with various university stakeholders, assisting in the preparation of university meetings, and handling other administrative tasks. Responsibilities: Manage and maintain executive schedules, including travel arrangements and appointment coordination. Oversee and manage communication with faculty, students, and staff, which includes drafting and editing correspondence. Assist in preparing agendas, notices, minutes, and resolutions for university meetings. Conduct research and compile data to assist in the preparation of reports, presentations, and decision-making. Organize university events and functions, including coordination of logistics, guest lists, and promotional materials. Coordinate and manage special projects as assigned by the executive. Administer and maintain office budgets, including tracking expenses, invoicing, and financial reporting. Facilitate smooth operation of the executive office, which may include managing office supplies and equipment. Assist in the organization and preparation of materials for lectures, presentations, and workshops. Maintain a high level of confidentiality in all aspects of the role. Handle incoming and outgoing communications, including emails, phone calls, and letters. Liaise and coordinate with other university departments and external stakeholders. Provide general administrative support such as filing, typing, and record keeping. Build and maintain relationships with key university partners and stakeholders. Serve as the first point of contact for the executive office for internal and external queries. Assist in the development and implementation of office procedures and policies. Keep updated on university policies, procedures, and changes affecting the executive’s role. Help in the recruitment, training, and supervision of office staff as needed Requirements Minimum of 3 years of experience as an Executive Assistant, preferably in a non-profit setting Proficiency in Microsoft Office Suite, including Excel and Outlook Experience with Concur and CRM systems Familiarity with C-Suite level correspondence and documentation Proven expertise in calendar management Capability to prepare and distribute meeting minutes Excellent written and verbal communication skills Strong organizational skills and attention to detail Ability to prioritize tasks and handle multiple projects simultaneously Demonstrated ability to handle confidential information discreetly Bachelor's degree or equivalent experience in a related field is preferred.
